SUMMARY

This position is responsible for performing accounting and clerical tasks related to the efficient maintenance and processing of accounts payable transactions for the college.

Essential Job Functions
  • Responsible for ensuring the accurate and timely payment of College bills.
  • Communicate on a daily basis with vendors and employees about open invoices, purchase orders, and disputed amounts.
  • Ensure invoices are properly scanned into ImageNow, routed and approved for payment, paid within the appropriate payment period and archived electronically.
  • Ensure credits and discounts are within the appropriate payment period.
  • Ensure vendor statements are correct and follow up on discrepancies.
  • Assist Controller in preparation for external audit.
  • Ensure all vendor information is accurate.
  • Ensure payments are sent to the correct vendor.
  • Archive paid vendor documentation.
  • Data input invoices, credits and discounts directly into the financial system.
  • Assist in preparation and research for issuance of 1099's.
  • Distribute vendor invoices and other pertinent information for appropriate approval.
  • Collect cash from RaiderCard Cash2Card machines and deliver to the Cashier's Office for deposit.
  • Process voided checks, stop payments and lost checks.
  • Work with Budget Control Officers to research voucher payments, credits and general ledger details.
  • Review and monitor receipt documentation on Campus Purchasing Cards to ensure compliance with College policies.
  • Prepare and process internal postage charges via journal entries.
  • Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position.
  • Other Duties as assigned by supervisor


JOB SPECIFICATIONS

Education/License
  • Associate's degree or comparable combination of relevant education and experience.
  • National Career Readiness Certificate (NCRC) preferred.


Work Experience
  • Minimum of three years or more years of accounts payable or accounting experience.
  • Finalists must possess excellent proofreading skills and have aptitude for detailed work. A skills assessment may be required.
