Position Title: Manager of Post Closing and Booking

Business Unit: Mortgage Administration

Reports to: Manager of Residential Secondary and Capital Markets

Position Overview:

This position is primarily responsible for supervising the daily activities of the Post Closing, Mortgage Insuring, Mortgage Electronic Registration System (MERS) and Booking staff to ensure performance of all duties. The incumbent ensures all procedures, Bank policies, and agency/investor guidelines are adhered to and compliant and monitors queues to ensure that all loans requiring work are identified and assigned in a timely manner. The incumbent maintains the staffing schedule to balance business needs and serves as back-up in most areas of responsibility.

Primary Responsibilities:

Participates in the development of the policy and procedural changes, program implementation and improvements as directed by the Bank, OCC, CFPB and government agencies to reduce or eliminate risk. Provides trending information to the responsible parties to reduce or eliminate errors.

Ensures compliance with Fannie Mae, Freddie Mac, Federal Home Loan Bank and the private investor requirements for documentation to ensure compliance and eliminate the possibility of fines or corrective actions. Ensures compliance with the corporation's policies and procedures by maintaining a high level of continuing education.

Makes weekly assessments of reports to ensure all duties are completed in a timely manner. Provides input to the Manager of Secondary Markets in areas of staffing and promotional as well as disciplinary actions. Handles staffs workload and coordinates the development of each employee ensuring performance goals are established and monitored.

Post Closing: Ensures the Closing Coordinators perform the critical document review of all loans arriving from settlement agents. Identifies the need for corrections and revisions and ensure items are posted systemically to ensure reporting and follow-up. Forwards trailing documents to the permanent record, both electronically and original documents for retention.

Mortgage Insuring: Ensures all Mortgage Insurance certificates are activated for Private Mortgage Insurance and Government loans. Remits premiums as necessary for FHA and VA loans and supervises the case binder preparation and submission process. Follows up as necessary to perfect loan documents or insuring deficiencies. Ensures compliance to all government programs.

MERS: Supervises the MERS coordinator to ensure that a MIN number was assigned and facilitates the transfer of some upon Whole Loan Sale and loan delivery. Works with MERS coordinator to ensure that annual and periodic MERS audits are completed timely and any corrections or revisions are perfected.

Booking: Ensures that loans are booked in an accurate and efficient manner by supervising the booking team. Data extracts are utilized to the extent they are available, but some data must be perfected manually.

Regularly partnering with mortgage operations team (closers, underwriters and processors) to identify and mitigate recurring issues affecting loan and data quality. Participate in potential eClosing projects which could be incorporated to reduce the turn times of loan during closing and post closing, and loan sale cycle.

Coordinate with other teams including correspondent, servicing, construction and draw management and secondary loan delivery for prioritization of workflow as well as sharing of capacity challenges. Initiate and lead projects to improve efficiency and output by incorporating system and workflow changes.

Participate and take an active role in any projects involving automation of workflow. Partner with external vendors and internal IT for improving document management and loan checklist process via automatic data extraction.

Performs other related duties and projects as assigned.
