Facilities Coordinator Opportunity in Financial Services

Location: 7755 3rd St N, Oakdale, MN 55128

Full Time (Onsite)

Due to the nature of this role, this is an onsite position. Remote candidates will not be considered.

We are looking for a driven and motivated individual to join our dynamic facilities and office management team. This Facilities Coordinator plays an important part in ensuring that Advisor Group is always ready to meet the needs of our advisors and clients by being a lynch pin of operational readiness. The Facilities Coordinator is responsible for providing all levels of operational and maintenance support to the sites, leading office maintenance related procurement activities, performing vendor management and oversight, managing equipment, supplies, and occupancy services, achieving expected service levels and proactively developing and maintaining client relationships.

Responsibilities:

  • Badge creation and management to include new hires, visitors, contractors, etc.
  • Act as the on-site point person for all day-to-day office facility's needs.
  • Collaborate with facility managers and upper management on budgeting needs.
  • Maintain vendor relationships and submit facilities contracts into system for review.
  • Ensure facilities first aid kits are well-stocked and in compliance with OSHA regulations.
  • Act as liaison to external office vendors like building managers, HVAC, cleaning crew(s), and others as needed. Identify and delegate specific office repairs and maintenance to designated contractors/vendors in a timely manner
  • Lead the certificate of insurance process ensuring records are kept up to date.
  • Assist with work order routing & system management routing
  • Partner with facility managers to submit all department requisitions in accordance with budget
  • Ability to respond to after-hours emergencies including nights and weekends. Response may include remediation and directing building management or 3rd parties as necessary
  • Coordinate administrative and clerical support as needed, managing allocation of resources (office supplies, inventory, snack programs, etc)
  • Recommend and implement process and policies for administrative support needs
  • Ensure that basic facilities such as water, heating, grounds, etc are well-maintained
  • All other duties as assigned.

Education Requirements

  • Bachelor's Degree from accredited university preferred, high school diploma (or equivalent) in combination with significant practical experience will be considered in lieu of degree. Minimum of high school diploma or equivalent is required.

Basic Requirements

  • 3+ years of facilities management experience in a corporate environment with multiple facilities in different geographic locations.
  • Experience in coordinating repair and maintenance of commercial buildings and corporate office environments
  • Experience in managing vendors and payment of invoices
  • Organization, time management, and prioritization skills
  • Ability to work in fast-paced and demanding environments
  • Excellent verbal and written communication skills.
  • Good "problem solving" ability within a high-pressure environment.
  • Ability to be proactive and a team player.
