Marketing project manager

Reports to: VP of marketing, communications & public relations

Status: Full-time, salaried, benefitted position

Hours of work: Standard Monday-Friday workweek, 8am-5pm. Occasional need for weekend or after-hours work as related to projects. This position will work a hybrid schedule with at least 2 -3 days onsite each week, one day being Thursday, and 2-3 days remote from home. This may change to adhere to Aquarium personnel policies over time.

Position description:

The Seattle Aquarium, a global conservation leader, is looking for a marketing project manager to join the team. The marketing project manager works across the marketing, communications & public relations team to lead the delivery of a vast array of high-quality digital, print, campaign and event projects for internal departmental clients across the Seattle Aquarium organization.

Key functions (what you get to do):

  • Manage the workflow of requested, active and completed projects through the 12+ members of the Marketing, Communications and PR team.

  • Work closely with both in-house clients and team members to establish project needs, deadlines and budgets.

  • Delegate tasks on projects to team members best positioned to complete them.

  • Serve as a point-of-contact for both in-house clients and team members for visibility into project status and next steps.

  • Make effective decisions when presented with multiple options for how to progress with a project.

  • Perform quality control on projects throughout development to maintain expected standards.

  • Manage and communicate changes to schedules and targets on projects as needed.

  • Manage the release process to ensure projects meet release criteria.

  • Maintain and communicate service level agreement estimates for project delivery to clients.

  • Motivate the team and resolve conflicts between team members to ensure a productive work environment.

  • Report monthly team budget status to the management team.

  • Provide the management team with visibility to workflow status and team member capacity.

  • Maintain the team project calendar to provide visibility to potential capacity constraints.

Other responsibilities:

  • Lead digital asset management and archiving strategy and implementation for the team.

  • Manage specification and procurement of printed asset production with third party print vendors.

  • Manage specification and procurement of branded uniform and apparel production with third party vendors.

  • Other duties as assigned.

Experience you will bring to the team:

  • Demonstrated experience successfully managing the workflow of multiple projects across a team.

  • Ability to effectively collaborate, establish trust and maintain healthy relationships with all levels in the organization.

  • Demonstrated resourcefulness and adaptability.

  • Willingness to step up to big challenges.

  • You assume responsibility and accountability for completing assignments and tasks.

  • Composure when faced with difficult and demanding situations, personalities and changes in priorities and plans.

  • Ability to manage and prioritize multiple tasks happening simultaneously.

  • You work well on a team but can also work independently without close supervision.

  • Familiarity with common workflow management tools - the Teamwork.com project management system, while not required, is a significant plus.

Required skills and experience:

  • While a bachelor's degree in business, marketing or management is preferred, we will consider various combinations of relevant experience and education to meet minimum requirements.

  • Excellent time and project management skills including oral and written communications, analysis, organization and attention-to-detail skills.

  • Strong interpersonal and customer service skills and a positive attitude.

  • Proficiency with computer-based tools such as Microsoft 365 (Word, Excel, PowerPoint, Outlook, SharePoint, Teams).

Working conditions:

  • Staying in one place (standing sitting) for extended periods of time

  • Fine motor movements in fingers/hands to operate computers and other office equipment

  • Specific vision abilities required by the job include close vision, distance vision, color and peripheral vision, depth perception, and the ability to adjust focus.

Salary and benefits: $67,000 - $82,000/year. Dependent on experience. Please include salary expectations in your materials.
