Working closely with the MD and our regional managers, you will be a key supportive team member for the GLAS leadership and collaborate with co-workers who are industry experts with diverse backgrounds, being part of a team that is shaping and challenging the industry. You will work to support our global program management efforts; lead our internal communications initiatives and collaborate with other teams to support external communications; oversee board and management reporting; contribute to industry engagements and GLAS thought-leadership efforts. Position Summary The Program Management and Operations Analyst provides direct support to the LATAM Advisory Solutions (GLAS) Vice President and works closely with the LATAM GLAS Management Team to ensure our strategic activities and programs in the region operate smoothly. This individual plays an essential role in the administration and effectiveness of the LATAM GLAS team by supporting local and field-based staff with day-to-day operations, organization, and reporting. This position supports and develops strategies for running a best in class consulting practice, supporting talent strategy, communications, metrics performance, training, and team climate. The candidate should possess excellent project management skills, be comfortable working with teams and actors across multiple regions and functions, demonstrate strong analytical skills and attention to detail, be a proactive problem solver, exercise discretion, and have a positive, energetic attitude. The person in this role will be based in Bogota, Colombia.
Position Responsibilities Department Operations
Facilitate the implementation and operationalization of the GLAS strategy and structure, within the region.
- Work with the VP LATAM to rollout and implement global strategic initiatives at the regional level.
- Create / monitor dashboards to track performance against KPIs and annual department goals and priorities.
- Support deployment of GLAS business and policy procedures for department use.
- Be a champion for the GLAS Employee Value Proposition, promoting positive team culture and identifying areas for improvement.
- Support regional performance metrics work, including tracking outputs and key performance indicators of our partner engagements in Latin America.
- Request, collect, and edit project updates for key reports (Monthly Management Report, Quarterly Board Report, etc.).
- Support Project Managers to handle minutes, budgets, and reports for key projects of the region.
- Support onboarding processes for new GLAS team members; contribute to updating of the team onboarding handbook.
- Support the evolution of GLAS core capabilities by working with Practice Area Leads, supporting project progress and submission of common deliverables.
Business Development
- Support the development of presentations, proposals, and budgets for new Latin America regional projects.
- Support the management of the business development tracking tool, keeping it up to date with developments in Latin America.
- Perform desk research and market scans for new business opportunities in Latin America as requested.
Industry Engagement
- Contribute to thought leadership efforts (blogs, publications, webinars, etc.) to maximize demonstration effects and showcase lessons learned from project work.
- Develop case studies to showcase project work on Accion's website and other mediums.
- Support GLAS advisory team with specific deliverables /activities gaining exposure and hands-on experience in the work the team conducts in the region.
Organization & Administration of Latin America Region
- Organize monthly team and budget review meetings; record minutes, set expectations and outcomes with agendas and action items for follow-up. Manage and maintain calendars.
- Organize and assist in the execution of logistics for in-person team meetings (invitations, venue, material printing, visas, meals, etc.), or other programming as required.
- Assist with administrative tasks for the team as needed, including travel support, translation, editing, presentation development, among others.
- Liaise and communicate with Accion departments and external partners to support the achievement of both global and regional team goals.
- Stay current with Accion policies and procedures and ensure that regional Global Advisory staff is in compliance.
- Keep Latin America operational and risk plans up to date (Business Recovery Plan, Emergency Plan, Record Retention Policy, etc.)
- Review and approve timesheets and expense reports on behalf of Latin America Program Manager for regional team members as needed.
- Coordinate information sharing and contribute to improved collaboration across Accion departments with regards to our work in Latin America.
Position Qualifications
- Bachelor's Degree in relevant field (e.g., economics, business, international development).
- 4-5 years of years of relevant work experience (e.g., business operations, project management, advisory services, or a related field).
- Experience leading small projects and/or providing project support to larger projects.
- Highly organized, and strong attention to detail; excellent project management, presentation design, and event planning skills.
- Strong problem-solving skills, with a demonstrated ability to prioritize multiple tasks and meet deadlines.
- Excellent communication skills, particularly written in both Spanish and English.
- Strong leadership and diplomacy skills with an aptitude for interacting effectively with a variety of people at all levels, internally and externally, in an international and multi-cultural environment.
- Demonstrated ability to handle sensitive information and exercise discretion.
- Entrepreneurially minded; ability to work independently and proactively, and as a part of a highly collaborative team; quick learner; receptive and responsive to feedback.
- Advanced MS Office skills, especially PowerPoint and Excel.
- Knowledge of/experience in virtual collaborative systems and tools a plus (e.g., Alfresco, OwnCloud, Dropbox, Adaptive, Survey Monkey, Salesforce, NetSuite).
- Bilingual Spanish / English required.
Travel Requirements
- Ability to travel up to 15% regionally and internationally.
