Job Summary

The Finance and Administration unit is recruiting for an Operations Coordinator. This is an important position in the department supporting UDAR's mission of advancing the Chancellor's priorities and UCSF's goals thru fundraising for the enterprise. This position is a member of UDAR headquartered at 2001 The Embarcadero, an off-campus location across the street from Pier 39, overlooking the beautiful waterfront and bay.

This position is essential to the day-to-day operations of the Development Office as it is the first point of contact for donors and visitors during a visit or call to the office. The incumbent must be able to triage and pivot, multi-task, focus on prorities and urgent needs, and anticipate long-term needs. The incumbent will be in regular contact with the AVC and COO, the Executive Director and CFO of the Foundation, the Senior Director of Finance and Administration, UDAR staff, campus leadership, Gift Administration, and the donor community. The incumbent's duties involve both administrative support and independent coordination of projects, working with confidential donor and personnel information while maintaining confidentiality. The incumbent applies university policies and departmental procedures to oversee a variety of administrative/operational issues and analyzes and problem-solves issues of moderate scope.

The incumbent reports to the Director of Operations and provides administrative support, advises/executes on key business and personnel matters related to the Director's desk. These include managing UDAR's 8 conference room calendars, exercising independent judgment and critical thinking in assessing, routing, and tracking assignments. Under the direction of the Director, the incumbent will prioritize assignments and assist with carrying out initiatives and objectives and Coordinator assists the Director in liasioning, coordinating, and communicating, triaging issues, handling confidential matters, and referring issues to appropriate units and staff. The incumbent also serves as the "right hand" of the Director and in their absence, represents them in administrative and committee meetings.

In addition, the Administrative Officer supports CDS' core businesses and strategic initiatives, in alignment with UDAR's fundraising mission. They also provide mid-level budget and financial analysis to the Senior Director of Finance and Administration to responsibly and effectively monitor budgets related to capital projects, tenant improvement projects, and central expenses e.g. facilities, central supplies, cell phones, wireless bills, rideshare, etc.

The incumbent supports and provides counsel to the Finance and Administration unit and the larger Central Development Services department in a variety of operational, administrative, financial, and budgetary issues in varying complexities e.g., monitoring initiatives and projects and independently performing ongoing analysis to track, evaluate, project and report on the financial status of all the unit budget manager's budgets, with oversight from the. Director of Operations and coordinates Operation's annual budget planning.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

The UCSF Foundation and the Office of University Development and Alumni Relations (UDAR) are responsible for fostering and strengthening the campus outreach efforts to UCSF constituents and for garnering private support for the campus and the Medical Center. In raising private support, UDAR identifies, qualifies, solicits and stewards donors for the schools, medical centers, departments and programs on campus; accepts and administers all private gifts to the university through The Regents or the UCSF Foundation; and manages all alumni relations activities, campus support group activities and campus events. The UDAR office staffs the UCSF Foundation. The office is also responsible for the design and implementation of fundraising campaigns for UCSF

Required Qualifications


  • Bachelor's degree in related area and / or equivalent experience / training
  • 1 year of related work experience; and/or equivalent experience/training
  • Ability to use sound judgment in responding to issues and concerns.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Ability to use discretion and maintain confidentiality.
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.

Preferred Qualifications


  • Working knowledge of common organization-specific and other computer application programs
  • Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting, financial analysis and reporting techniques
  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll.
  • Solid knowledge of common University-specific computer application programs and systems.
  • Property management and facilities experience.
