Summary:

The Manager will manage the PSP leads, a team of people that purchase goods and services across multiple research sites/laboratories/departments, and collaborate with the Science Operations Managers, Lab Coordinators Managers and Department Heads to ensure every lab/department gets the proper level of support for procurement processing and escalated problem resolution. Provide input to the supplier management staff on supplier activity levels, proposed contract development, contract administration, and supplier quality. Answer supplier management staff questions on specific commodity items, suppliers, or requirements for end users-relay sourcing information to direct reports. Collaborate with the Business Systems team to resolve issues with system configuration, response, and activity levels, including support of AN suppliers and catalogs. Drive the achievement of Service Level Agreement (SLA) standards and ensure HHMI policies and procedures are followed in all procurement and Institute operation aspects. Maintain constructive, collaborative relationships across procurement and Institute-wide operations, using these relationships to ensure continual operational focus.

This position will report on a hybrid schedule to our headquarters campus in Chevy Chase, MD.

What you'll do:

  • Lead assigned team members in providing consistently high-quality services within targeted productivity, efficiency, and accuracy metrics.

  • Establish and maintain effective, positive, professional working relationships with both internal and external partners, including, but not limited to: Conference Services, Business Solutions, Accounts Payable, Tax, Treasury, General Accounting, and Legal to ensure a seamless end to end purchasing experience for the end user and sufficient information for the timely and efficient completion of work of the other departments.

  • Ensure all HHMI labs and department users are adequately supported during regular business hours to meet or exceed SLAs by maintaining appropriate staffing levels and flexible working schedules.

  • Advise laboratory and departmental staff on HHMI preferred suppliers and products. Promote the use of existing contracted suppliers and supplier catalogs available on P2P.

  • Maintain proficient skills in various Supply Chain Applications (i.e., Workday, Ariba, Apex Solution, etc.)

  • Manage invoicing problems and ensure invoice reconciliation is resolved in a timely manner, working with Sourcing in the case of AN catalog suppliers and accounts payable for other transactions as necessary.

  • Be responsible for pro-card purchases and reconcile statements timely.

  • Negotiate pricing agreements with non-contract/catalog suppliers as necessary.

  • Develop in-depth knowledge of the goods and services procured at the Institute and the needs of assigned commodities.

  • Analyze spending patterns for supported labs and coordinate with the supplier relationship group and PSP to help lab managers assess possible improvements or cost savings.

  • Keep abreast of the latest trends and developments in the procurement field, such as best practices, new technologies, use of artificial intelligence in procurement, etc.

  • Prepare and submit timely and accurate procurement reports and documentation as well as develop dashboard reports where helpful or requested.

  • Communicate and meet with designated laboratory and department members to inform them of changes in HHMI's procurement policies and procedures.

What you bring:

  • Bachelor's degree in purchasing, business, or related field.

  • CPM, CPSM, or CPIM certification.

  • Minimum of eight years of progressively responsible procurement experience, preferably in an academic or research environment.

  • Proficient with Microsoft Office suite programs and procurement systems.

  • Five years of Supervisory experience in Procurement, directing the work of others, providing feedback, and managing team performance.

  • Proven experience in procurement management, preferably in a nonprofit work environment

  • Knowledge of procurement laws, regulations, and standards applicable to the nonprofit sector.

  • Experience managing work under Service Level Agreement standards.

  • Ability to work outside the traditional "9 to 5" workday as needed.

Physical Requirements:

Remaining in a normal seated or standing position for extended periods of time; reaching and grasping by extending hand(s) or arm(s); dexterity to manipulate objects with fingers, for example using a keyboard; communication skills using the spoken word; ability to see and hear within normal parameters; ability to move about workspace. The position requires mobility, including the ability to move materials weighing up to several pounds (such as a laptop computer or tablet).

$100,656.00 (minimum) - $125,820.00 (midpoint) - $163,566.00 (maximum)

HHMI's salary structure is developed based on relevant job market data. HHMI considers a candidate's education, previous experiences, knowledge, skills and abilities, as well as internal equity when making job offers. Typically, a new hire for this position in this location is compensated between the minimum and the midpoint of the salary range.
