The Cancer Prevention Program is built around the idea that changing certain lifestyle or environmental factors can lower cancer incidence and improve survival. We investigate cancer etiology and risk factors through clinic- and community-based studies in targeted populations. The program includes over 200+ professors and research support staff from a variety of disciplines including epidemiology, biostatistics, nutrition, genomics, behavioral science, health economics, health disparities, health communications, dissemination and implementation, primary care and oncology.

The Research Administrator (RA) III works under the direction of the Associate Program Operations Director to plan for and ensure compliant and effective funding, budget and regulatory administration and general administrative support for one or several Principal Investigators (PIs) and their labs/departments. The RA works in an autonomous manner and exercises independent judgment to make appropriate decisions. The position is responsible for completing non-scientific funding proposal content and tasks, managing sponsored award accounts, partnering with PI and study teams to advise on relevant manners, and developing effective solutions to related issues through collaboration with program administrative team members and other departments.



Responsibilities

Pre-Award

    Work closely with PIs and study teams to prepare and submit grant and contract applications to funding agencies, ensuring all forms are completed correctly and fully, award eligibility requirements are met, and institutional review is obtained.
  • Create and communicate timelines, monitor progress, and take further action as needed.
  • With input from investigators and senior staff, develop budget and related administrative portions of applications including drafting sub-components.
  • Anticipate potential challenges or delays and work to proactively address.

Post-Award

  • Perform key post award activities such as interpreting the notice of award, flagging unique aspects or budget adjustments, and monitoring expenditures.
  • Work with PIs and project managers to prepare budget forecasts for individual accounts as well for overall PI portfolios.
  • Work directly with Fred Hutch Office of Sponsored Research staff to resolve questions and issues related to grants and contracts, including closeout, cost transfers, and prior approval requests.
  • Maintain internal documentation and coordinate necessary communications with sponsors.
  • Prepare and oversee submission of all required interim or annual progress reports.
  • Initiate, review, and monitor subawards/subcontracts for spending and compliance.
  • Assist with expense approval, invoice processing, and related tracking to ensure charges are appropriate and paid in a timely manner.
  • Manage and/or monitor payroll allocations, the monthly effort certification process, and associated records.
  • Follow changes in sponsor policies and procedures and respond accordingly to maintain compliance.

Administrative Support

  • Complete or delegate key administrative tasks such as vendor management, procurement, and formatting and/or editing of various documents.
  • May serve as a central point of contact for the program to answer questions, escalating issues as needed.
  • May assist with the development, coaching, or training of lower-level staff.
  • Participate in various committees and contribute to process improvement initiatives.


Qualifications

MINIMUM QUALIFICATIONS:

  • Bachelor's degree or 3 years relevant experience.
  • Minimum of 1 year experience managing federal and/or non-federal sponsored research.
  • Strategic thinker, excellent verbal and written communication skills, ability to work autonomously and as part of a team
  • Proficiency with Microsoft Outlook, Word, Excel, Access, and Adobe; working knowledge of Excel formulas and functions.
  • Ability to quickly learn new applications and adapt to frequent changes; navigate complex internal systems and departments.
  • Budgetary knowledge (ability to reconcile, manage, report budget information, etc.).
  • Ability to tailor communications to specific audiences with professionalism.
  • Demonstrated competencies to work creatively in a fast-paced environment and taking initiative and ownership of projects.
  • Must exhibit excellent dependability and flexibility in dealing with changing priorities.

PREFERRED QUALIFICATIONS:

  • Four years of relevant experience.
  • Two years of experience as a research administrator preferably with principal investigators/academics.
  • Prior experience working in start-up or quick-growth environment.

The annual base salary range for this position is from $80,434 to $120,619, and pay offered will be based on experience and qualifications.
