Contract Administrator

POSITION SUMMARY:

The Contract Administrator is responsible for the preparation, issuance, and monitoring of the status and final execution of all subcontracts and purchase orders. This role also provides general administrative support for the division office. The Contract Administrator must be a flexible and adaptable team-player, as well as have strong communication skills.

MAJOR DUTIES & RESPONSIBILITIES:

  • Prepare and submit Project Number Request
  • Set up Prolog Data Base for new projects
  • Input purchasing requirements, cost codes and need dates based on purchasing priorities
  • Accurate and timely maintenance of data base to track purchasing status
  • Assist Estimating / Project Management in preparing and submitting Subcontractor prequalification forms
  • Prepare address and fly sheet templates for new projects
  • Assist in identifying and preparing all contract exhibits
  • Manage routing, review and approval of all subcontract drafts
  • Prepare, assemble and issue all Subcontracts and Purchase Orders
  • Obtain required bonds and the initial certificate(s) of insurance
  • Review Bonds and Insurance for compliance and obtain approval from Risk Management
  • Maintain Subguard / Insurance Data Base
  • Distribute fully executed Subcontracts to Accounting and Project and file division office copy
  • Process division office invoices for approval and inputs into ECMS
  • Provides "in processing" of new employees
  • Helps maintain records of computer related equipment and prepares equipment transfers as needed
  • Assist Division Management in maintaining OSHA documentation and postings
  • Provide general administrative support
  • Other duties as assigned

JOB SKILLS & ABILITIES GUIDELINES:

  • Computer knowledge and efficiency, including Microsoft Office products
  • Knowledge of Vista and Prolog, or ability to learn and implement within 30 days of hire
  • Good time management and organizational skills
  • Ability to understand and follow instructions
  • Functions effectively as part of a team

MINIMUM QUALIFICATIONS:

  • Bachelor's Degree- Construction Management, Engineering or equivalent. May substitute required education degree with related experience on a one to one basis
  • 8 years of industry experience
