We are seeking a hardworking, self-motivated Administrative Coordinator to join the lab of Dr. Trevor Bedford at the Fred Hutchinson Cancer Center ('Fred Hutch') in Seattle. The Bedford lab works at the interface of evolution, epidemiology and virology. They apply computational and statistical methods to sequence data to understand viral dynamics and reconstruct patterns of epidemic growth and geographic spread. They also link viral mutations to human population immunity and use this knowledge to forecast evolutionary outcomes. For more information about the lab team and their work, please visit .

As the Administrative Coordinator, you will provide comprehensive administrative support to Dr. Bedford and the Bedford lab staff. You will work independently, be expected to take initiative, and exercise sound judgment to prioritize and accomplish multiple responsibilities within a challenging and stimulating work environment.

You are an adaptable, congenial professional who is excited to work collaboratively with a diverse group, serve as the liaison between the lab, HHMI and Fred Hutch, and manage the responsibilities of this role with a high level of attention to detail, proactiveness, warmth, and poise. The Bedford lab has ample flexibility to allow for the chosen candidate to have a remote/hybrid work schedule. Seattle area applicants are preferred, but the lab is open to considering qualified applicants throughout the United States provided they are willing to relocate to the Seattle area within 6 months.

What you'll do:
  • Proactively work with Dr. Bedford to address competing priorities and commitments through calendaring, ongoing communication, and notification.

  • Manage day-to-day general operations of the Bedford lab and act as the primary point of contact for employee and internal stakeholder inquiries.

  • Navigate the requirements, protocols, and procedures of both Fred Hutch and HHMI and ensure accurate and timely communication of requirements is shared as appropriate.

  • Create and maintain detailed documentation around key work functions.

  • Oversee HR activities such as recruitment, onboarding, offboarding, processing personnel changes, etc.

  • Participate in divisional or institutional improvement projects and problem resolution related to administration.

  • Carry out special assignments and perform other responsibilities as assigned.

What you bring:
  • Bachelor's degree or equivalent combination of education and work experience is strongly preferred.

  • A minimum of 5 years of increasingly responsible administrative and office experience is required.

  • Ability to multi-task, work independently, prioritize effectively, plan ahead, problem-solve, and meet goals in a deadline-driven environment.

  • Ability to handle confidential and sensitive information.

  • Comfort enforcing boundaries and making judgment calls with little guidance.

  • Exceptional customer service skills, a cooperative attitude, and a positive demeanor; ability to build relationships and trust.

Physical Requirements

Remaining in a normal seated or standing position for extended periods of time; reaching and grasping by extending hand(s) or arm(s); dexterity to manipulate objects with fingers, for example using a keyboard; communication skills using the spoken word; ability to see and hear within normal parameters; ability to move about workspace. The position requires mobility, including the ability to move materials weighing up to several pounds (such as a laptop computer or tablet).

Compensation Range

$72,335.00 (minimum) - $90,400.00 (midpoint) - $117,530.00 (maximum)

HHMI's salary structure is developed based on relevant job market data. HHMI considers a candidate's education, previous experiences, knowledge, skills and abilities, as well as internal equity when making job offers. Typically, a new hire for this position in this location is compensated between the minimum and the midpoint of the salary range.
