Position Title: University Registrar

Department Name: Academic Affairs

Position Reports To: Associate Vice Provost

FLSA STATUS: Exempt

Salary Range: $100,000-$110,000

Benefits: The University's comprehensive benefits program


Days & Hours: Monday through Friday, 37.5 hours per week. Standard work schedule is 9:00 am to 5:30 PM, may be adjusted. Flexible schedule may require evening and weekend hours during peak periods.

BASIC FUNCTION AND SCOPE OF JOB:

Golden Gate University seeks a dynamic and experienced leader for the position of university registrar to join our community. This position requires a unique combination of strong leadership, technological, and interpersonal skills. The university registrar actively contributes to comprehensive strategic enrollment and student success efforts, providing thoughtful leadership as the university continues to develop innovative in-person and online programs and approaches to meet the changing needs of traditional and adult learners. The university registrar serves as the institutional student records custodian; leads the team responsible for effectively managing all aspects of academic records and student registration processes; fosters and maintains collaborative working relationships with institutional leadership, faculty, and staff; and supports university academic programs and policies. The university registrar acts as a central communication resource for academic information and promotes operational excellence and the innovative and effective use of technology.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:




  • Manages all functions of the Office of the Registrar including ensuring the integrity of student academic records, registration processes, grading processes, degree audit processes, and degree and certificate conferral processes.
  • Serves as the custodian of student academic records and responds to subpoenas for those records in consultation with the director of business services and legal counsel, as necessary.
  • Oversees the regular purging and archiving of student academic records.
  • Interprets correct application of FERPA privacy laws to university constituents.
  • Maintains relevant parameters and configurations in the student information system (Ellucian Colleague) and ensures thorough testing of system patches prior to implementation in production environment.
  • Develops the academic calendar in collaboration with school deans and associate vice provost.
  • Collaborates with faculty on curriculum development and revision and supports them in the utilization of an online curriculum management application (Curriculog).
  • Manages the publication and maintenance of the GGU Catalog and Law School Student Handbook using an online academic catalog management application (Acalog).
  • Manages the coding of academic program requirements (degree audit) into the student information system (Ellucian Colleague).
  • Manages the timely creation and publication of the course schedule for each academic period using an online application (Smartsheet).
  • Oversees registration functions and assigns access to perform registration transactions in the student information system (Ellucian Colleague).
  • Ensures the timely submission of attendance records and grades by course instructors and verifies their adherence to related policies and procedures.
  • Ensures the timely reporting of enrollment and degree information to the National Student Clearinghouse to ensure compliance with regulatory requirements.
  • Ensures the timely fulfillment of transcript orders and degree and enrollment verifications, primarily via the National Student Clearinghouse.
  • Recruits, hires, and evaluates direct reports.
  • Determines business procedures and prepares staff work schedules.
  • Ensures that all records maintenance practices comply with state and federal laws, and any accreditor requirements.
  • Provides ad hoc reports and data analysis to business units as appropriate and necessary.
  • Provides support and information for accreditation and financial audit requirements.
  • Supports the development of partnerships with other educational organizations and provides ongoing administrative and academic support for existing partnerships.
  • Reporting to the Office of the Provost, this role leads a team of 5 staff members, who work primarily remotely, and is responsible for providing strong leadership and overseeing the professional operation of the office, including compliance with government regulations and institutional policies, effective budget management, enrollment reporting, and outstanding customer service.

Qualifications

QUALIFICATIONS:




  • Education requirement:

    • Master's degree


  • Years of experience:

    • Seven years of progressive responsibility within a Registrar's Office including five years of supervisory experience as an associate or assistant registrar, or related field; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed.


  • Knowledge of:

    • Strong technical and analytical skills, including the ability to review processes and utilize data to recommend and implement policy and process improvements.
    • Proficiency in MS Office suite and online meeting and collaboration tools.
    • Prior experience with student information systems and other relevant enterprise applications.


  • Preferred Direct job-related qualifications:

    • Significant years of experience with the Ellucian Colleague Student Information System, as well as experience with academic catalog software (Acalog).
    • Experience in other areas of enrollment management, such as financial aid, is also highly valued.
    • Familiarity with the rules and best practices of the American Bar Association's Section on Legal Education and the California State Bar preferred.
