Job Summary

The Conference Planner is responsible for establishing a warm, welcoming and professional atmosphere for all clients, executives and staff members at all times. The conference planner is responsible to deploy a strategic approach on optimizing space, trend group and user behaviors and work closely with their manager on advising how reservable space is being used.

OVERALL RESPONSIBLITIES:
Manages and books reservation requests; maintains room schedules through EMS system.
Responsible for responding and processing all incoming requests.
Send confirmations in connection with bookings and follows-up prior to event to confirm status and details.
Provides consultative event coordination services to customers as required.
Responsible for room setups; assuring room configurations are correct.
Manage logistical execution of events, including the arrangement of outsidecatering as needed
Delivers consistent customer interactions across conference center locations through implementing uniform terminology, consistent email templates and standardized workflow processes.
Reviews monthly operational metrics, actively identify and share opportunities to increase utilization, raise Customer Service scores, lower cancellation rates and unfilled requests.
Assist with guest services and support, including directing guests to the
appropriate resource, wayfinding, checking guest coats and luggage, etc.
Speak knowledgeably about the office, building, surrounding areas ,transportation, local restaurants and other points of interest
Maintain a strong awareness of business activity and communicate all updates with team members
Maintains daily/weekly schedule boards and/or digital signage displays.
Educates customers on direct access resources.
Receives shipped materials; serves as point of contact for stored materials; ensures materials are delivered to the meeting room as designated.
Carry out instructions for security, fire, health and safety guidelines
Other duties as assigned

KEY COMPETENCIES:
Outstanding customer service skills
Superior verbal and written communication skills
Highly proficiency with Microsoft Office product suite (i.e. Excel, Word, PowerPoint, Outlook)
Experience working in technical/audiovisual environment.
Ability to work independently, prioritize effectively and make decisions when faced with ambiguity.
Ability to adapt quickly to change and maintain a flexible approach when providing customer support.
Able to remain mobile for extended periods during work day.
Able to work a flexible schedule to include evening and weekend hours.
Must be able to lift 50 pounds.
Work experience with reservation software platforms
Catering or other food service-related experience
Communications, Event Planning or Hospitality background
