Purpose

Provide seamless administrative support of Texas Parents Association memberships with a focus on membership processing, reporting, retention of existing members, and member and partner relations.

Responsibilities
  • Process Texas Parents Association complimentary and supporting levels of membership including entering and maintaining accurate member information into the database and VIP systems both manually and by downloads. Replace membership cards and act as the first point of contact for member assistance for online inquiries and incoming phone calls.

  • Provide the highest standard of customer service in person, over the phone, and via email, acting as the primary point of contact. Represent the department well by speaking knowledgeably and composing professional written responses with concise language and proper grammar. Advise, counsel, reassure, and problem-solve for parents contacting the office. Assist parents with the University's complex structure, culture and systems, and policies and procedures to reach desired outcomes. Proactively acquire institutional knowledge that will aid in assisting the parent and family constituency.

  • Coordinate Family Orientation membership sign-up stations, train Family Orientation Student Leaders on the use of the online sign-up system and database as well as the membership structure and offerings. Educate volunteers on membership fulfillment responsibilities and troubleshoot any technical problems. Facilitate the membership renewal program, administering strategies developed to encourage member retention and to foster a sense of community. Cultivate and maintain campus and vendor partnership relations to enhance member benefit offerings. Cold call and act as a point of contact with local hotels to establish Family Orientation hotel options and membership benefits.

  • Administer the stewardship program. Ensure all donors receive a personalized thank you from Texas Parents. Create, maintain, analyze, reconcile, and ensure the accuracy of various departmental reports including, but not limited to, a Constant Contact email bounce report, membership weekly, and online and Family Orientation sales reports. Serve as a contributing staff member in a team-centric and collaborative environment, functioning capably in a dynamic, fast-paced office, creating and maintaining standard operating procedures for assigned processes and procedures. Serve as an essential worker, and occasionally report to work, either in-person or remotely, during times of emergency closures. Substitute for other staff as necessary. Keep abreast of current events as they pertain to students and their families, and perform other tasks as assigned.

Required Qualifications

Bachelor's degree and one year of experience applicable experience, or High School graduation or GED, and five years of clerical experience, including one year of experience at the Administrative Assistant level. Ability to pay great attention to details and maintain accuracy in a data entry-based position. Established working knowledge of Microsoft Office, specifically Excel and mail merge. Excellent organizational skills, and written and verbal communication skills. Ability to provide the highest standard of customer service. Ability to work independently and as part of a team. Ability to problem solve and think critically. Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelors degree. Bilingual in English and Spanish. Direct experience related to job responsibilities. Knowledge of student programs, organizations, and activities at The University of Texas at Austin. Knowledge of UT Austins offices, structure, policies, and procedures, history, and traditions. Experience selling and processing memberships. Experience using membership database systems, Constant Contact, and UTs VIP system. Experience answering customer service-centric questions by phone and email. Experience working with volunteers and training student staff. Cold calling experience.

Hourly Rate

$20.50

Work Shift
  • Hours per week - 40

  • The primary work location is on the main University of Texas at Austin campus. Standard work hours are Monday through Friday, from 8 am 5 pm.

  • Work additional hours during peak times, including early mornings, evenings, and weekends, especially during the summer months during Family Orientation. Regular and punctual attendance at the workplace is required.

Retirement Plan Eligibility:

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
