Purpose

Grants and Contracts Specialist administers federal and private foundation funding programs of the Teresa Lozano Long Institute of Latin American Studies that fulfill the Institute's academic, research, and outreach mission and enhance its partnership with the Nettie Lee Benson Latin American Collection. This position is responsible for all aspects of the sponsored project lifecycle.

Responsibilities
  • Pre-Award Grant Research and Writing: Identify, develop, and write institutional funding proposals that support and strengthen the program, operational, and collection goals of Lozano Long Institute of Latin American Studies (LLILAS) Benson, an average of five institutional grants per year. Assist affiliated LLILAS faculty and LLILAS Benson principal investigators in preparing and submitting research proposals aligned with strategic priorities; develop grant budgets in collaboration with appropriate LLILAS and LLILAS Benson staff.

  • Post Award Grant Management and Administration: Responsible for post-award activities, allocations, transactions, compliance, and reporting requirements. Coordinate all NRC and FLAS grant activities, programs, and administration. Manage sub-awards, service and consultant contracts/invoices/payments, and credit authorizations. Monitor MOU, DUA, and NDA for compliance.

  • Manage Effort Certifications. Engage with the Director and faculty PIs to ensure their grant management needs are met. As a member of the LLILAS finance team, leverage grant funds across the organization's programmatic efforts. Supervise staff and student employees. Grants Representation and Foundation Relations: Serve as the Institute's expert on all Sponsored Projects/Research Policy and Processes.

  • Serve as LLILAS Benson's Point of Contact for all pre- and post-award matters. Cultivate and maintain relationships with relevant private foundations and government agencies. Maintain accurate and in-depth records on sponsored funds, generate related reports, and make related presentations to stakeholders. Collaborate with CoLA, UT Libraries, and relevant UT offices to ensure LLILAS Benson grant activities/programs/awards are prominently featured on websites, social media, and public events.

  • Serve as primary liaison to the Office of Sponsored Projects, CoLA Research Office, Office of the VP for Research, Office of Institutional Assessment, Institutional Review Board (IRB), and UT Association of Research Administrators.

Required Qualifications

Bachelor's degree and five years of experience in preparing, processing, and/or negotiating grant and contract proposals and awards. Self-starter able to proactively manage workload and consistently meet deadlines. Excellent written and verbal communication skills. Demonstrated organizational skills, flexibility, and positive attitude. Ability to pay great attention to details and learn quickly. Ability to work independently and as a member of a team. Professional and calm demeanor. Experience working with confidential information using tact and discretion. Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

High-level maturity, competence, and analytical skills to command high-pressure situations, analyze issues, and act extremely calmly and decisively to resolve any challenging situation successfully. Exceptional self-starter abilities; demonstrated record of high-level resourcefulness needed to learn a job quickly without guided training. Highly proficient with electronic application systems. Experience working in a university environment. Knowledge of UT policies, processes, systems, and procedures related to pre- and/or post-award research administration. Demonstrated experience managing multiple overlapping timelines to meet contractually obligated deliverables. Deep familiarity with UT contractual requirements and negotiation strategies. Certified Research Administrator (CRA) status. Bilingual English/Spanish or English/Portuguese. Degree in Latin American Studies or a related discipline.
