General Notes

Purpose

Lead and manage the student competitions for the Summer Field Research project.

Responsibilities
  • Submit to each Evaluating Committee a clean spreadsheet with application materials from the Qualtrics and letters of recommendation, indicating which applications are complete and which are still pending (for travel authorization, irb, etc.). Communicate with various stakeholders on when they will get the results of the committee deliberations. Continue emailing students with incomplete applications who must submit their materials. Send an update on students who have completed the requirements from IRB and Travel Authorization, etc.

  • Communication: The committee decides which are yes/no/revise resubmit (using technical language) and feedback, so the person needs to communicate the results to each individual student. The person also needs to communicate with other committees about the results. Send reminder emails to students who applied that they need to revise and resubmit to get their relevant materials to their box folders. Communicate decisions to students. Keep track of student applicants waiting on results from IRB. Plan Pre-departure informational meeting.

Required Qualifications

Bachelor's degree, one year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of clerical experience. Proficient knowledge of Excel Outlook Word. Excellent communication skills. Organized Detail-oriented.

Preferred Qualifications

Administrative skills for a complex unit requiring the use of initiative and judgment. Collects and compiles information. Translate instructions from technical and administrative superiors to subordinates and handle routine personnel functions. Determine work priorities and schedules. Composes and types departmental correspondence, usually submitting only the complex for approval. Coordinates the exchange of information with other departments. Performs related duties as required.
