Job Details:

Purpose

To assist the Student Services Office and Jackson School students.

Responsibilities
  • Provide administrative support to all JSG student services staff including but not limited to, scheduling appointments, maintaining multiple individual calendars, processing academic forms, updating and managing office's Canvas course content, appropriate routing of emails and phone calls, and overseeing special projects as assigned.

  • Manage the JSG student center front desk by providing administrative support to student services staff, student-related activities, and hiring, training, and supervision of part-time student employee(s).

  • Provide assistance to students and guests in person and over the phone. Determine work priorities and schedules. Collect and compile information.

  • Monitor student center facilities and report maintenance requests promptly; work with facilities staff to expedite repairs. Maintain equipment and check-out logs such as for building keys, after-hours access, parking, etc.

  • Oversee purchasing of office and event supplies for student services office initiatives and complete all associated paperwork for business services office. Verify required documentation and approvals for purchases, maintain procedures and records/logs relating to purchases, and submit final documentation by stated deadlines. Help reconcile office's credit card purchases after each statement closes.

  • Responsible for receiving and processing requests to use student center facilities for events, meetings, etc. Provide requester with requirements and documentation for use of school facilities depending on their status, type of event, etc. Coordinate setup for meetings and events in the Jackson School student center.

  • Serve as instructor/facilitator for 1-2 UGS 016 FIG Seminar student success courses offered to new JSG freshman each fall semester.

  • Other related functions as assigned.

Required Qualifications

Diploma (High School) or GED plus 3 years of experience.

Preferred Qualifications

Bachelor's degree and one year of experience at the Administrative Assistant level, or high school graduation or GED and five years of clerical experience, including one year of experience at the Administrative Assistant level. One year of full-time equivalent applicable experience may be substituted for each thirty semester hours of college credit earned, or vice versa; however, a minimum of one year of applicable experience is required. Experienced problem-solving skills, quick learner, self-motivated, comfortable with change, and a high capacity for working with others to provide a range of services in a fast-paced office. Attention to detail and attendance are important to the success of the position.
