Job Summary/Basic Function
The Director of the Business Office administers and oversees business related functions for the College including, but not limited to, accounting, payroll, purchasing, accounts receivable and accounts payable. This position provides internal control support for the College, creating procedures and monitoring their compliance. This position provides direction, coordination, planning and evaluation of all activities within the Business Office.
Minimum Qualifications

  • Bachelor's degree in Accounting or related field.
  • Five years' experience of overall responsibility for a computerized accounting system; or an equivalent combination of education and experience.
  • Advanced knowledge of generally accepted accounting principles, fund accounting principles, State of Michigan statutory compliance accounting requirements, and Federal Single Audit Program reporting requirements; advanced knowledge of purchasing regulations mandated for use by public institutions.
  • Proficiency with a personal computer, advanced knowledge of Microsoft Excel, and skilled in the use enterprise resource planning (ERP) automated accounting systems.
  • Must have high level of interpersonal skills to handle sensitive and confidential situations Position continually requires demonstrated poise, tact and diplomacy Must be able to interact and communicate with individuals at all levels of the organization.
  • Analytical ability is required to gather, evaluate and summarize data for reports, and find solutions to various problems Must have ability to exercise substantial independent judgment and work with limited supervision.

Preferred Qualifications

  • Masters of Business Administration Degree and/or certified public accountant (CPA) designation.
  • Three years of fund accounting experience in a college or governmental environment.

Supervision Exercised
This position supervises the Senior Accountant, Staff Accountant, Accounting Generalist and HR/Payroll Clerk.

Reports to the Vice President of Finance and Operations.

Lead and coordinate annual financial audit for the College and all programmatic financial audits.


Job Duty
Lead Foundation audit by performing workpaper review and account analysis. Lead quarterly Foundation fund accounting including bank reconciliations, investment change allocation, Due to From reconciliation, and financial statement preparation with assistance from Senior Accountant.

Assist Senior Accountant with the Single Audit and preparation of Schedule of Expenditures of Federal Awards ( SEFA).

Assist Vice President of Finance with preparation of monthly financial statements for presentation to Board of Trustees.

Directs, coordinates and verifies accuracy of College's payroll, including all reporting requirements in compliance with Internal Revenue Service, Quarterly 941 payroll reporting, Unemployment Insurance Reporting, MPSERS, Optional Retirement Plan, 403(b) and other benefits providers.

Annual W-2 preparation and filing.

Advises, informs and generally assists cost center managers on a regular basis with budget, financial and procedural concerns. Assists Vice President of Finance and Operations in the development of the annual general fund budget.

Analyzes General Ledger Accounts each month and reconciles to subsidiary accounts or documentation.

Develops procedures to ensure effectiveness, accuracy and timeliness of College accounting and internal control functions in accordance with generally accepted accounting practices.

Ensures the accurate and timely reporting of financial information required by external agencies, including but not limited to, state and federal agencies, institutional grants and student financial aid.


Job Duty
Reviews journal entries, college balance sheets and other accounting reports; research and correct out-of-balance funds and inter-fund adjustments.


Job Duty
Responsible for month end adjustments, reconciliation of prepaids, monthly and annual accruals, and periodic allocation of revenue and expenses.

Ensure monthly bank reconciliations are completed timely.

Oversight of accounts receivable and accounts payable review and reconciliation with assistance from Senior Accountant.

Monitors the operation and continued improvement of the procurement system required to identify, select, and acquire all materials and services for the College; monitors the open purchase order system, including the approval of all purchase orders; monitors the effectiveness of and compliance with internal controls over receiving operations.

Administers the business office records retention system to ensure all documentation maintenance and audit requirements are met.

Actively supports and participates in the college's continuous improvement process.
