Job Description:
The Town of Erie Planning & Development Department has a great opportunity for someone looking for a flexible, part-time job to gain skills in an office setting. The Permitting Administrative Intern will be an important member of the Building Division supporting the administrative needs for permitting and customer service. This position is intended for someone who is exceptionally organized, has great communication skills, and is excited to help a busy team! The person in this role will learn the ins and outs of how a building goes from plans to full construction by helping to process applications, referring questions to the correct expert staff member, recording building permits, and more. DUTIES AND RESPONSIBILITIES: The below list is intended to be illustrative of the responsibilities of the position and not all encompassing. The Town may change these duties at any time.



  • Processes building permit and contractor license applications.


  • Screens calls and refers questions to appropriate staff or department.


  • Monitors released meters and records data.


  • Records permit information into permitting software database and maintains electronic and hard file property information.


  • Issues building permits for approved plans.


  • Serves as the first point of contact for customers to provide assistance with building permit policies and procedures.


  • Resolves complex and sensitive customer service issues.


  • Collaborates with the Plans Examiners to respond to permit inquiries.


  • Provides coverage for the division phone lines and front counter.


  • Receives, sorts, and distributes internal and external mail.


  • Performs other duties as assigned.




Work Hours: Management is flexible to accommodate a work schedule within normal business hours. Normal business hours are Monday - Friday 8:00am - 5:00pm with a minimum of 20 hours a week

Qualifications
Minimum Qualifications:

  • 17 years of age or older
  • Solid attention to detail and accuracy
  • Demonstrated organizational, customer service, and communications skills



Desired Qualifications:

  • Six months to one year of customer service experience



Knowledge, Skills & Abilities:

Knowledge of:



  • Administrative skills with knowledge of Microsoft Office
  • Knowledge of general cashiering procedures, practices, and equipment



Skills in:

  • Customer service
  • Operation of office equipment such as copier, calculator, 10-key
  • Word processing and spreadsheets
  • Answering multi-line phone system
  • Problem solving



Environmental Factors:

  • While performing the duties of this job, the employee will sit for up to 8 hours a day and walk for a minimal amount of time. Up to 6 hours a day will be spent performing repetitive motion tasks, such as typing. The grasping and holding objects will be limited to administrative duties when using a computer mouse and writing with a pen. The employee will be required to lift and move filing boxes and plans weighing up to 20 pounds.



Physical Factors:

  • Work will be performed in a general office environment and will involve the frequent use of a computer. Tasks require the frequent use of color discrimination, peripheral vision, near and far visual acuity due to computer use. Communication during the workday will be frequent, the employee will be exposed to common office sounds.
