Position Overview

The Junior Administrative Specialist plays a crucial role in providing administrative support to ensure the smooth functioning of operations. This position involves managing office tasks, facilitating communication, and assisting with various administrative functions.

Responsibilities



  • Provide administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements for team members.
  • Assist in the preparation and distribution of official correspondence, reports, and other documents.
  • Maintain organized records and filing systems, ensuring efficient retrieval of information.
  • Coordinate logistics for events, conferences, and meetings, both in-person and virtually.
  • Serve as a point of contact for internal and external inquiries, directing communication as needed.
  • Collaborate with team members to streamline administrative processes and improve overall efficiency.
  • Assist in tracking and managing office supplies, equipment, and inventory.
  • Maintain confidentiality and handle sensitive information with discretion.


Requirements



  • High school diploma or equivalent; additional administrative training or education is a plus.
  • Proven experience in executive support and administrative support roles.
  • Proficiency in office software (e.g., Microsoft Office suite) and familiarity with administrative tools.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to work collaboratively within a team and interact professionally with diverse stakeholders.
  • Demonstrated ability to adapt to changing priorities and deadlines.


Preferred Skills and Experience



  • Coast Guard, Navy or other military branch experience desired
  • Acquisition experience desired


Clearance Requirements

U.S. Citizenship with the ability to obtain and maintain a Public Trust.

Work Location

Washington, DC, USCG Headquarters Hybrid (onsite Tues, Wed, Thu, telework Mon, Fri).
