Position Summary:
Under the direction and supervision of the
Executive Director of the University of Admissions, the Administrative
Assistant II provides administrative support for operational, personnel, and
budget-related matters for the Office of University Admissions, and is
responsible for providing a culture of responsible stewardship and sound fiscal
management of the office's resources abiding by all applicable university
policies and procedures.

Essential Functions:
Budgeting & Accounting:
- Monitor and administer budget-related tasks for the Office of University Admissions.
- Perform budget transfers and reconciliations.

Operational Administration:
- Coordinate a monthly inventory of all office supplies and publications.
- Purchase office supplies as needed in support of the functions of the Office of University Admissions.

Personnel Administration:
- Review all proposed new hires (PAFs) and verify budget availability prior to approval.
- Review and verify timekeeping locations for accuracy.
- Coordinate onboarding for new employees' process with Human Resources.
- Work with the Executive Director of University Admissions in order to coordinate all staff recruitment efforts with the Office of the Vice Provost for Enrollment Management, including the approval of authorized personnel requisitions and overall management of vacancies.
- Assist in all other personnel actions as needed, including labor redistributions, student employment, etc.

Prerequisite Qualifications:
-
High school diploma or GED, 4-7 years of related experience in a university setting.
- Strong presentation and communication skills for the purposes of explaining financial issues to non-finance end users.
- Proficiency in Microsoft Office including Word, Excel and PowerPoint.
- Strong knowledge of customer service principles with excellent oral and written communication skills.
- Availability to work regular weekend and evenings.
- At the university's discretion, the education and experience prerequisites may be exempted where the candidate can demonstrate to the satisfaction of the university, an equivalent combination of education and experience specifically preparing the candidate for success in the position.

Preferred Qualifications:

Degree in business or related field.
- Experience with Ellucian's Banner ERP software.
- Ability to work in a fast-paced office environment, multi-task, and take direction from others. Must be able to work well in a team environment and interact professionally with co-workers.
