Duties & Responsibilities

Purpose

The primary responsibilities of the Inside Sales Representative are to generate business by interfacing with customers, suppliers and business unit personnel regarding Requests for Quotes (RFQs), prepare bids and proposals and managing CRM (Customer Relationship Management) application software and related quotation data. As well as to provide broad commercial administration support to the business with a specific focus on the compilation of tenders, maintaining data and databases, document control marketing and general administrative duties.

Functions

ESSENTIAL

* Log RFQ information into Customer Relationship Management (CRM) software and register the receipt of Request for Quote from customers, acknowledge RFQ and return any response forms.

* Maintain and process CRM records and reports for distribution to appropriate business unit personnel.

* Conduct analysis and periodic review of data, including costs and pricing, in ERP system and CRM.

* Route quotations and contracts to ensure proper approvals are obtained during bidding and contracting process.

* Compile and store supporting information and data utilized to generate quotations.

* Verify and ensure quotations are complete and accurate prior to submission.

* Contribute to business unit process improvement initiatives, including creating and revising procedures as required.

* Contribute to initiatives related to the CRM and ERP systems, including day to day reporting, training and new changes and implementations.

* Communicate effectively with clients, suppliers and internal functional groups such as Technology, Supply Chain Management (SCM) and Marketing.

* Update and maintain databases and files in accordance with department procedures and in compliance with general business requirements.

* Communicate with external and internal clients for the purposes of document control and delivery, as well as obtaining status updates and feedback.

ADDITIONAL

* Support the planning and execution of client events, demos and trade shows in close collaboration with the marketing department.

* Assist in delegating or soliciting information from Management, Engineering, Procurement, Sales, Accounting, Tax, Quality, HR and HSE as appropriate.

* Assist with project setup functions, contract execution and creation of hand-over packages and coordinate contract / purchase order execution and handover to Project Management, Engineering, Quality and Manufacturing personnel.

* Provide general administrative support duties to the commercial department such as requisitioning of supplies and materials for the department.

Qualifications

* Bachelor's degree in Business, Marketing, or other Technical degree.

* Minimum 3 years' experience creating RFQs, bids and proposals, and managing CRM (Customer Relationship Management) application software and related quotation data.

* Minimum 1 year experience with ERP and CRM software applications.

* Familiarity with industrial and commercial sales proposal preparation and specification review.

* Proficiency with Microsoft Office software.

* Excellent written and oral communications in English are essential. Proficient written and oral communications in German and/or Dutch would be greatly advantageous.
