Job Summary

The Loudoun County Health Department is currently seeking qualified applicants interested in joining its team as an executive assistant to provide high-level administrative support to the Health Director. Successful candidates should be resourceful, self-motivated, well-organized, possess great time management skills, exhibit a willingness to work in a team environment, and problem solve independently. Under general direction, the Executive Assistant performs tasks including, but not limited to, the following:

  • Performs complex and confidential administrative support duties to support the Health Director.
  • Manages the Health Director's calendar; schedules and coordinates meetings and other appointments; prepares and distributes documents such as meeting agendas and related information; informs staff of executive's commitments; makes travel arrangements for the executive's business travel; and organizes meetings and associated logistical support when necessary and takes meeting minutes for departmental activities as necessary, to include meetings that support the department's activities touching the Board of Supervisors' meetings and initiatives.
  • Acts as a liaison between the executive and staff, and may interact with elected and appointed officials, external organizations, and the public.
  • Manages information flow in a timely and accurate manner.
  • Provides administrative assistance, such as drafting or editing correspondence, reports, presentations, and may conduct research or special projects as needed.

Minimum Qualifications

High School diploma or equivalent; five (5) years of related clerical/administrative work experience with computer automated systems and office applications experience; or equivalent combination of education and experience.

Preferred:
Prior experience as an executive assistant is preferred. Demonstrated skills in Microsoft 365 Office applications (Excel, Outlook, PowerPoint, SharePoint, Teams, Word) and Adobe Sign or DocuSign.

Job Contingencies and Special Requirements

  • Have or obtain a notary public certificate within 30 days of hire (if/when required for job-related duties)
  • Valid driver's license and good driving record when required for job-related duties. Pass pre-employment criminal, credit, fingerprinting, and DMV background checks.
