Job Overview

With the addition of the South Harbor Customer Experience Center and facility tour experience, the South Harbor meeting planner is an important role to manage the day-to-day coordinate visits and experiences across our facility spaces (lobby, CEC, tour route, shovel/truck monument, manufacturing etc.).

Key Job Responsibilities


  1. Visit request intake: Develop and oversee system for receiving visit requests and discussing with hosts / stakeholders as needed. Manage visit requests and calendar to ensure no overlap of bookings and that proper support is available for any and all visits.




  1. Scheduling and visit approvals: Verifying availability & booking of facility spaces, tour guides, SMEs within Nexus system.




  1. Run of event: Preparing agendas and "run of event" plans, aligned with relevant SMEs and leadership.




  1. Communications: Utilizing branded templates to communicate to internal visit/tour stakeholders and prep attendee facing communications that hosts can send to attendees.




  1. Facility prep / tear-down: Coordinating preparations or completing preparations for facility visits (i.e. welcome logo at lobby, head-set synching, safety gear, signage, etc.) and tear-down or putting away of items post-visit, ensuring everything is ready for use again (i.e. replenishing stock, cleaning up used equipment, etc.)


Qualifications/Requirements


  • Bachelor's degree preferred.




  • Experience in marketing, excellent organizational skills, strong project management skills.




  • Experience managing budgets, invoicing, and negotiating pricing/contracts preferred.




  • Certified Meeting Planner preferred




  • Very detail oriented.




  • Ability to work in a fast-paced, short deadline environment; Can meet demands and timelines without sacrificing quality; work under stress.




  • Manage relationships with internal customers and stakeholders, taking a proactive approach.
