Position Summary
The Associate, Healthcare Training provides clerical/secretarial support to Healthcare training programs, including day-to-day office functions, scheduling, student support services, and the tracking, processing, and organization of department records and reporting.
Description of Duties
Healthcare Training Support

  • Collect and maintain student records/files for attendance, grades, and completion of career training programs in accordance with various regulatory, licensing, and certification bodies.
  • Maintain and update student information, course and student files including the processing of completion certificates, release forms, pre-requisite submissions, and instructor contracts.
  • Monitor and/or proctor tests as needed.
  • Retrieve student data for utilization by Operations Manager, Program Managers/Administrators and other appropriate staff as needed.
  • Input course and section information in Colleague in preparation for course implementation and registration.
  • Prepare, distribute, and track instructor contracts based on section input.
  • Order textbooks and instructional/lab supplies based on section data.
  • Request appropriate room assignments, based on section data.
  • Communicate with instructors regarding course implementation details, registration updates, course materials and room location.
  • Input e-requisitions and prepare invoice vouchers for purchases and payments.


Student Services Support

  • Assist students, faculty/instructor and community members in a variety of functions as their first contact point. Provide information to current and prospective students regarding the College services, including course information, program offerings and schedules.
  • Handle telephone calls and callers. Resolve issues related to telephone inquiries and refer to the appropriate staff person if necessary.
  • In person and by phone, use discretion and judgment in assisting current and prospective students in resolving routine problems and questions.
  • Refer appropriately, when necessary, to other departments across the college, or arrange meeting for students with the appropriate CPS Program Manager.
  • Process student registrations and payment in Colleague.
  • Register students and process payments, process withdrawals/drops and initiate refund appeal procedures, when necessary, distribute paperwork as required.
  • Aid students in completing and processing various registration and admission forms and records required by the College or outside agencies.
  • Provide information to students regarding pre-requisite requirements, review returned pre-requisite packets for completeness, using discretion and judgment as related to sensitive and/or confidential student matters such as health records and criminal background checks.
  • Perform other related duties as required.

Minimum Qualifications
Education:

  • Associate's Degree or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.


Experience:
  • Two years of related experience.
Knowledge/Skills/Abilities:

  • Ability to research information from multiple sources.
  • Ability to develop positive relationships with a diverse student population.
  • Ability to work in multi-project, fast-paced environment and meet concurrent deadlines.
  • Ability to work collaboratively and to address problems through teamwork.
  • Strong communication, interpersonal, and organizational skills.
  • Must be computer literate with ability to utilize Microsoft Office at an intermediate level and the ability to learn and utilize specific higher education programs and systems.
  • Ability to learn and apply office practices, procedures, policies, and regulations that are essential to the position.
  • Fluency in a second language is preferred or may be required.
  • Ability to travel locally.

Preferred Qualifications & Special Considerations
Knowledge of Monmouth County and its communities.
