Job Details:

Purpose

Serve as an integral team member to the HR Operations Team of the ARL HR department, providing administrative HR support to Applied Research Laboratories.

Responsibilities
  • Review, verify completeness, package and forward applicant materials to hiring managers for students and full-time staff. Coordinate interviews for hiring managers. Update relevant spreadsheets for routing applications and maintaining position management records.

  • Process changes in both Workday and IRIS. Run reports in Workday to ensure compliance. Process student reappointments and update student records as needed.

  • Assist ARL Recruiting team with recruiting events both virtual and in person as necessary.

  • Various administrative tasks such as: Records Retention; UT Drivers (set up, reports, ARL vehicles, spreadsheet updates); Service Award tracking; Drug Testing; Campaigns (Orange Santa, UT Halloween); working with the Strategic Communications office to keep compliance posters up to date.

  • Employment verifications and tracking.

  • Act as department timekeeper, approving all timesheets for monthly paid staff. Responsible for timesheet tracking and follow up and making corrections at the request of payroll as needed to prevent over payments. Assist in tracking and collecting necessary forms to document unpaid time off and other personnel actions.

  • Responsible for compliance tracking, to include the acceptable use acknowledgement, UT Learn and other compliance modules.

  • Maintain metrics for recruiting, application intake/review and others as deemed necessary by ARL HR Operations Manager.

  • Payroll certification/distribution.

  • Cross-train and serve as back-up to other ARL HR functional areas as needed.

  • Other related functions as assigned.

Required Qualifications
  • High School graduation or GED.

  • Five years of related administrative experience.

  • Demonstrated ability with Microsoft Office Suite.

  • Impeccable data entry and quality control verification of entries.

  • Highly skilled in tracking and prioritizing daily tasks.

  • Experience in an HR role with web-based applications, such as Workday or a similar HCM system, and ability to adapt to new systems.

  • Demonstrated high level of accuracy and attention to detail.

  • Demonstrated knowledge of current HR processes, forms and typical hiring procedures (I-9, background checks, reference checking, degree verification, etc.).

  • Ability/willingness to travel in support of ARL's recruiting program.

  • Clear, professional, and collaborative communication, both written and verbal.

  • Ability to work independently with sensitive and confidential information, maintain a professional demeanor, work as a team member without daily supervision and effectively communicate with all groups of clients.

  • Able to work under pressure and accept supervision.

  • Flexibility to adjust to changing priorities and deadlines.

  • Regular and punctual attendance.

  • Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • Bachelor's degree in HR or related discipline.

  • Experience working in a busy human resources office with frequent interruptions.

  • Workday experience particularly in the areas of time sheets, change job functionality and recruiting.

  • Demonstrated ability to be able to adjust to workload and process large amounts of paperwork and on-line information in a short time period when necessary.

  • Demonstrated knowledge of UT policies, administrative forms and benefits.

  • Notary public or eligibility to meet application requirements.

Salary Range

$42,000-$48,000+/negotiable depending on qualifications..
