SUMMARY: This position operates in a fast paced environment for the leading national distributor of food service
equipment and supplies. This Sales Assistant is responsible for the overall administrative support of assigned DON Sales force staff. This position provides quotes, completes research on orders, utilizes company systems, and communicates with internal and external customers while providing an exceptional level of service.

ESSENTIAL DUTIES:
Communicates and supports Street Sales Representative(s) with status of orders including
sales, returns, and credit issues.
Keeps District Sales Manager informed both verbally and in writing of issues within area of
assigned responsibility and escalates issues beyond scope of authority to the
appropriate party.
Communicates both verbally and in writing to all levels of staff and customers.
Organizes and maintains daily call plans based on individual customer and Sales
Representative requirements.
Prepares quotes, customer order guides, and other forms of reports as required.
Ensured that databases are maintained, utilized, and updated to provide essential data to
all DON users.
Requests literature and samples from manufacturers.
Completes Factory Direct Order follow-up to include requesting Proof-of-Deliveries from
manufacturers and secures "pro" number from factories to track deliveries as
needed.
Makes select customer calls on re-supply business.
Assists in the coordination and communication of pre-packs, new installations, and other major
sales assignments by monitoring orders from inception to completion.
Checks in pre-packs on site at customer openings as needed.
Troubleshoots and resolves internal and external customer issues.
Manages researches, and processes correspondence from customers and account managers to determine customer needs.
Works with manufacturers and vendor representatives to ascertain product availability, obtain pricing
literature, lead times, and shipping information
Prepares formal quotations for customers including specification sheets and freight charges using the DON Auto Quote System or MS Excel.
Processes stock and non-stock orders, works with Purchasing to ensure correct delivery time, and follows up with factory on progress of orders to obtain shipping information.
Responsible for processing returns, obtaining return approvals , and following up to ensure proper processing and pick up of all RAs.
Successfully navigates and effectively utilizes Salesi, Info Builder, Don quote 360 and other sales tools available to DON sales support staff.
Communicates with Sales and customers to obtain and process orders within appropriate programs.
Provides documents, reports, and comparisons as directed by sales and sales management.
Retrieves messages via voice and e-mail as required and responds within established time frames.
Assists Sales and Sales Management with administrative duties.
Coordinates vendor contract set-up and maintenance Helps to cover vacation routes as needed via the telephone. Performs other duties as assigned.

External Qualifications

Required minimum knowledge, skills, education/training, experience, and physical obligations:
* Bachelor's degree from an accredited institution in Supply Chain, Operations, Business, or related field with a minimum of 2 years of similar Supply Chain and/or Quality Control experience OR High School diploma or GED equivalent with 5-7 years of similar Supply Chain and/or Quality Control experience
* Ability to adhere to processes, policies, and procedures as outlined by Management
* Working knowledge of Info Builders, SAP System reports, Don Quotes, and Auto Quotes is preferred
* Effective time management skills, including the ability to prioritize, manage time lines, and work independently or collaboratively to accomplish organizational objectives
* The ability to effectively coordinate and manage projects and/or issues from inception through completion
* Intermediate proficiency with Microsoft Office products (specifically Excel, Word, Access, and PowerPoint)
* Possess excellent oral and written business communication skills
* Ability to foster strong, open lines of communication across all levels of the organization
* Ability to adhere to Edward Don & Company's standards of conduct policy
Preferred minimum knowledge, skills, education/training, experience, and physical obligations:
* Bachelor's degree from an accredited institution in Sales, Communications, Operations, Business, or related field is preferred Experience with Microsoft Illustrator is preferred Intermediate to advanced proficiency working with SAP is highly preferred Experience in sales support within a distribution environment is highly preferred
