Primary Purpose

The Learning Management System (LMS) Administrator is involved in every aspect of configuring and maintaining a single system of record for training and associated documentation in compliance with federal and international guidelines and requirements for clinical research organizations.


Responsibilities

Configuration

  • Leads implements the initial and ongoing configuration of fields for courses, sessions, learners, instructors, learning plans and all related items for the effective data capture, maintenance and reporting in Emmes' audit-ready environment
  • Develops and implements a migration plan to move training data from Totara to an updated learning management system
  • Establishes and maintains, in partnership with IT, integrations that feed data to the learning management system to ensure that the LMS is current with other Emmes systems
  • Creates and executes a long-term plan for learning management system growth and improvement
  • Creates systems and workflows to ensure that all course resources are properly set up and available
  • Facilitates the escalation of and resolution for IT issues connected to the learning management system and/or external tools Testing
  • Uploads SCORM packages to the LMS
  • Conducts tests to ensure SCORM courses perform and document completion properly prior to full launch
  • Manages the sandbox environment
  • Maintains a bank of test user accounts
  • Enters data for each SCORM package to initiate reviews and/or retirement
  • Manages the testing and evaluation of new features and tools that integrate with the LMS by facilitating and managing vendor vetting and training

Data Integrity and Reporting

  • Interprets and applies compliance requirements as related to training tracking
  • Defines and runs regular and ad hoc compliance reports
  • Monitors employee compliance in required courses and identifies employees who are out of compliance for further follow-up
  • Tracks usage of the learning management system features to provide reports on trends and creates and executes a plan to address those issues and trend

Maintenance

  • Assigns and manages appropriate learner, instructor and administrator accounts and access
  • Monitors all accounts and removes access when employees leave Emmes
  • Establishes approaches to differentiate active and inactive employees and maintains training histories for terminated employees in alignment with regulation and the law
  • Enters and manages attendance from live course deliveries
  • Manages instructor schedules in the LMS
  • Works with LMS provider to remain current on system specifications and updates
  • Communicate updates and changes to the LMS as needed

Customer Support and Troubleshooting

  • Provides help resources and training for learners, instructors, students, faculty, and staff including instructional videos, how-to guides, and FAQs related to the usage of the learning management system, instructional technology, and documents relevant data about each external learning tool in a central repository
  • Establishes and manages a help desk ticking system with designations for LMS support
  • Responds to all requests for support as related to the LMS
  • Manages relationships with the LMS vendor

Qualifications

  • Master's Degree in Education Technology or related field
  • Technical certifications or coursework related to LMS administration
  • Minimum 3 years of learning management system maintenance and administration
  • Minimum 3 years' experience integrating tools and technologies
  • Minimum 3 years' of management or leadership experience
  • Proven ability to effectively communicate with faculty, staff, and senior leaders
  • Documented experience leading a learning management system migration.
  • Demonstrated ability to lead learning management systems in a global, compliance-driven organization; Totara and Veeva Vault Training preferred
  • Demonstrated ability to create systems and process that support the effective management of the LMS
  • Skills in managing relationships with learning technology providers
  • Advanced proficiency with MS Office suite
  • Ability to troubleshoot learning management issues
  • Excellent customer service skills
  • Strong verbal and written communication skills
  • Advanced proficiency integrating external tools into the learning management system (preference for Totara and Veeva Vault Training experience)
  • Advanced understanding of HTML/CSS and JavaScript
  • Knowledge of LTI, API and OAuth
  • Proactive communication skills
  • Problem solving capabilities
  • Proficiency in training curriculum development preferred
