At Decision Technologies, we recognize the important role of an Executive Administrative Support Specialist. We are seeking a qualified individual to join our team in Arlington, VA, and contribute to our team.

Position Description:

As an Executive Administrative Support Specialist, you will be the primary Point of Contact (POC) for the office, providing crucial administrative support to designated Senior Executives. Your role will involve a variety of complex and routine administrative duties, all of which must be performed in compliance with written and oral guidance and policies. You will have the opportunity to interact with high-ranking officials within the agency and throughout the IC, Congress, the White House, and the private sector. Your work will also involve preparing, contributing to, and/or providing substantive reviews of an extensive volume of written and oral materials and performing multiple critical and time-sensitive tasks simultaneously. You will also be responsible for coordinating with component divisions to ensure alignment with key component priorities within ODNI and the IC.

MUST HAVE AN ACTIVE TS/SCI CLEARANCE

Responsibilities and Duties:

  • Providing staffing support to action officers for all required correspondence actions (e.g., formal letter, memorandum, read-ahead briefing/meeting packages, activity reports, senior leadership reports, and travel/training/personnel documents).
  • Ensure documents are prepared in the appropriate DoD format. Documentation shall be clear, concise, and valid, and substantive editing should be included to ensure document organization and quality are within OSD standards.
  • Maintain leadership's daily calendar and ensure operations are accomplished promptly and professionally; arrange meetings, conferences, and video-teleconferencing to include taking minutes and maintaining invitations, and attendee contact rosters.
  • Prepare and oversee travel arrangements for staff personnel and assist with developing travel reports and vouchers upon travel completion using the Defense Travel System (DTS).
  • Arrange for official local transportation, reimbursement for expenses incurred, and renewal of parking permits.
  • Serve as the administrative point of contact for government staff personnel in a sensitive compartmented information facility. Tasks include monitoring access to SCIF, preparing and maintaining essential logistic and security requirements for the SCIF, answering phones, maintaining office files and the office filling system, and tracking action items in the OUSD(I&S) suspense portal. In addition, security support should be provided to special access programs as required.
  • Maintain records for control and accountability of classified correspondence, special access correspondence, and other material received in the office, making distribution to appropriate members of the staff.
  • Ensure all office records are marked, filed, and retained in accordance with OSD and federal records disposition schedule, approved by the National Archives and Records Administration

Required Qualifications and Skills:

  • Three years of executive assistance experience
  • Must have an active TS/SCI DoD Security Clearance
  • Bachelor's degree (Masters preferred)

Desired Qualifications and Skills:

  • Self-starter with demonstrated knowledge of administrative management, automation equipment, and various software packages to input, retrieve, compile, and manage information.
  • Excellent communication skills
  • Demonstrated ability to multi-task
  • Knowledge and experience with the following applications/programs:
    1. Correspondence Action Task Management System (CATMS)
    2. Defense Travel System (DTS)
    3. Defense Civilian Pay System (DCPS)
    4. DoD Directives Portal
    5. Ground Transportation System

25% travel or less
