WHAT YOU WILL BE DOING (ESSENTIAL DUTIES) ...

The Payroll Specialist is responsible for the accurate and timely processing of payroll for all employees at Newport Mental Health. This role ensures compliance with all federal, state, and local payroll regulations, and maintains confidentiality of employee records. The Payroll Specialist will also analyze payroll data to support financial planning and budgeting within the organization.

Essential Duties:

  • Payroll Processing
    1. Process bi-weekly payroll for all employees, ensuring accuracy and adherence to deadlines.
    2. Verify timesheets, wage computation, and other information to detect and reconcile payroll discrepancies.
    3. Manage payroll deductions, including taxes, benefits, garnishments, and other withholdings.
    4. Prepare and distribute payroll checks and direct deposit statements.
  • Compliance and Reporting:
    1. Ensure compliance with federal, state, and local payroll laws and regulations.
    2. Prepare and file quarterly and annual payroll tax returns.
    3. Maintain accurate payroll records and prepare reports for audits as needed.
    4. Stay updated on changes in payroll laws and regulations and adjust processes accordingly.
  • Data Analysis:
    1. Analyze payroll data to identify trends, discrepancies, and areas for cost savings.
    2. Collaborate with the finance department to support budgeting and forecasting efforts.
    3. Provide insights and recommendations based on payroll data to improve financial performance.
  • Employee Support:
    1. Serve as the primary point of contact for employee payroll inquiries and issues.
    2. Educate employees about payroll procedures, benefits deductions, and tax withholdings.
    3. Handle sensitive information and maintain the highest level of confidentiality.
  • System Maintenance
    1. Maintain and update payroll system software, ensuring data integrity and accuracy.
    2. Collaborate with IT and HR departments to resolve system issues and implement updates.
    3. Perform regular audits of payroll system data to ensure accuracy and compliance.

WHAT WE EXPECT OF YOU...

  • Associate or bachelor's degree in accounting, Finance, Business Administration, or a related field preferred.
  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus.
  • Minimum of 3 years of payroll processing experience, preferably in a healthcare or mental/behavioral health setting.
  • Experience with payroll software systems (e.g., ADP, Paylocity, or similar) is required.
  • Strong understanding of payroll principles, practices, and regulations.
  • Excellent analytical skills with the ability to interpret complex data.
  • Proficient in Microsoft Office Suite, especially Excel.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive and confidential information with discretion.

This will be a full time position based in our Middletown, RI office with occasional requirements to work extended hours during payroll cycles. A hybrid work option may be available.
