PRIMARY PURPOSE

CNA is a not-for-profit research and analysis corporation running two major business units, CNA, the Department of the Navy's Federally Funded R&D Center (FFRDC), and the Institute for Public Research, which provides analytic support to non-DOD government sponsors. Resources and Force Readiness (RFR) is a division within the FFRDC. Our primary clients are the Navy and Marine Corps. We also support OSD and other components of DOD. As our name implies, RFR focuses on a full range of resource issues.

The RFR division is seeking a Senior Administrative Assistant with experience in advanced administrative support to help in a number of ways including, preparing documents and product deliverables, making meeting / travel arrangements, answering phone calls, distributing mail and providing back-up to other administrative team members. This position is a critical team member and component to the administrative success of the RFR.

JOB DESCRIPTION AND / OR DUTIES



  1. Provide advanced overall administrative support to reduce workload for the team.
  2. Prepare complex correspondence, presentations and documents for final publication including formatting and editing changes and maintaining document log if required.
  3. Independently coordinate production, processing and distribution of multiple and/or complex project deliverables, including preparing and costing out project proposals and addendums as required.
  4. Prepare monthly reports as required.
  5. Answer and screen telephone calls for manager and other team members.
  6. Manage direct manager's calendar.
  7. Make arrangements and coordinate logistics for conferences and business meetings, including: scheduling conference rooms, determining meeting locations, ensuring adequate supplies, and arranging travel, orders and clearances.
  8. Distribute incoming mail and prepare outgoing mail.
  9. Perform petty cash transactions for the division.
  10. Act as a backup for other administrative team members.
  11. Assist with new hire coordination if needed.
  12. Perform other duties as assigned.


JOB REQUIREMENTS



  1. Education: High school diploma or equivalent. Some college and/or administrative courses preferred.
  2. Experience: Minimum 4 years administrative support experience.
  3. Skills: Experience with Microsoft Office (Word, Excel, Access, Power Point), Adobe Acrobat and basic internet searches required. Demonstrated initiative and follow-through skills, oral and written communications skills, organizational skills, interpersonal skills, and proofing and editing skills. Ability to learn quickly, prioritize, and work accurately under pressure with little supervision.
  4. Clearance: Ability to obtain and maintain security clearance.
  5. Hybrid Work Eligibility: This position is eligible for telecommuting or hybrid work arrangements at the discretion of the Supervisor. Employees may be required to work at CNA headquarters or other work locations resulting in changes to the scheduled telecommuting or hybrid work arrangements.
