OVERVIEW:

Job Title: Project Manager

Location: Transient

Job Type: Full-Time

Performance Evaluated by: VP OF CONSTRUCTION

Purpose: The Project Manager (PM) is responsible for the overall management direction to multiple construction projects (plans, budgets, schedules, organizes, and controls assigned projects). The PM should maintain close contact with the project clients and monitor the construction and financial activities to ensure proper completion. This position may be an on-site manager for large, complex projects. The PM should lead by example and uphold the mission and core values of R.C. Construction Company.

ESSENTIAL JOB FUNCTIONS: ** RC will gladly provide reasonable accommodation to assist Project Managers in performing these essential job functions so long as it does not create an undue burden.



  • Initiate and maintain liaison with owners and other contacts to facilitate projects.
  • Oversee and provide guidance on projects to Project Managers and work with Directors, Superintendents, and Foremen to plan, organize, and direct activities related to construction projects.
  • Lead and/or assist with estimating potential projects.
  • Establish project objectives, policies, procedures, and performance standards within the boundaries of company policy and contract specifications.
  • Confer with supervisors and foremen to discuss such matters as work procedures, complaints, and construction.
  • Monitor and control project through administrative direction of on-site foremen to ensure the project is completed on schedule.
  • Investigate potentially serious situations and implement corrective actions when needed.
  • Represent the company in project meetings and attend strategy meetings.
  • Work with contract administrator to manage financial aspects of contracts to protect the company's interest and simultaneously maintain a good relationship.
  • Procure supplies and materials needed to complete the project.
  • Interpret and explain plans and contract terms to administrative staff and workers on the project.
  • Update job reports including work progress, costs, and scheduling.
  • Work with field operations to assign workers to construction sites.
  • Proactively develop relationships with the subcontractor.
  • Possess a thorough understanding of contractual agreements with clients, vendors, and other necessary personnel.
  • Ensure that every project is managed to maximize customer satisfaction.
  • Ensure the project quality control plan is in effect and followed.
  • Ensure a punch list is completed to the customer's satisfaction.
  • Submit project change orders to clients.
  • Complete cost reports within the scheduled timeframe.
  • Ensure job processes are followed in accordance with the policy.
  • Proactively monitor the progress of the project through updated schedules.
  • Assist the project staff in resolving scope problems with subcontractors.
  • Review and ensure that the safety plan is in place prior to starting work on the project.
  • Ensure that the field staff is administrating the safety plan.
  • Submit projects for industry awards as appropriate.


WEEKLY TASKS

A weekly onsite meeting with supervisory personnel will happen every week on the jobsite. This meeting will include all superintendent, quality control, and safety personnel. At a minimum, the meeting will cover Quality Control (with submittal register review), Safety, Schedule Updates (typically in a 3-week look ahead), and Changes/Issues/Concerns.

Internal and Client project meetings should be separate. Primary subcontractors should be invited to internal update meetings.

2/3/4 Week Look Ahead

A Look Ahead schedule, after evaluation and discussion with field personnel and consideration of the overall jobsite schedule, will be produced weekly. This document will most always come from smart sheet and updated and published before the Project Update Meeting. Allow Senior PM to access this look ahead and review.

Invoice Review and Approval

Completed in Timberscan weekly and finalized every Wednesday by COB. It is the preferred practice to review and approve invoices daily. Proper coding and notes are expected to go along with Invoices.

HCSS Review and Approval

Completed throughout the week and finalized on Monday of every week.

MONTHLY TASKS

Project Update Meeting (Senior PM)

Monthly project update meetings will be held with Senior PM or other supervisor staff. Meeting will include the following agenda items.



  • Quality Control - upcoming preparatory meetings, submittal register review, issues, concerns and RFI's.
  • Safety - any safety concerns or issues on-site.
  • Schedule review - Full project schedule review, with and up to date full project schedule and look ahead
  • Issues, Change Orders and Concerns - Discuss any upcoming potential or ongoing changes to the contract and any other miscellaneous concerns that are pertinent.
  • Financial review - Full financial review with completed Cost to Complete Excel and Profit and Losses statement. Financial reviews are to be sent to Senior PM before the meeting for review or updated in a shared folder.
  • Information and decisions made during this meeting regarding all areas are to be reviewed with onsite supervisory personnel, including financial and schedule.


Pay Applications

Pay applications are to be sent to either the customer or the GC monthly and on time.

Schedule Update Meeting

PM/APM's are to have a full schedule update meeting with whomever is doing the scheduling on the job. Job Superintendents should be invited to attend this meeting and be involved. This will be to update the schedule for the entire project, from start to finish. Senior PM's to be invited to attend this meeting. Any slippage of the schedule greater than 30 days needs to be reported to the Senior PM immediately. Results of this meeting will feed the Project Update Meeting with the Senior PM.

Financial Cost to Complete and Profit and Losses Analysis

Cost to Complete Excel documents is to be updated in the shared folder by the 11th every month for data entry. Full analysis of all cost codes should be conducted and feed the P&L. All financials in Excel will be vetted against a hard copy "Cost Spreadsheet" in Sage to ensure accuracy and completeness. These documents are to fully reviewed in the Project Update Meetings with Senior PM.

PRECONSTRUCTION EXPECTATIONS

Buyout Meeting with Pre-construction

A pre-construction buyout meeting to review original estimates, subcontractors and determine plan of action for contracting should be held with Pre-Con team, Project Management team and Project Assistant.

Contracting

All contracts for the project to be reviewed by Senior PM. Contracts and Purchase Orders for the project should be completed BEFORE the start of construction.

Submittal Register Review with Dates

Complete a full submittal register review with QC and pertinent supervisory personnel. Create a schedule with final dates that submittals will be completed. Stick to the dates!

Hold a Pre-Con Meeting with Primary Subcontractors and Stakeholders

Hold a meeting once contracting and initial schedule is set to review the entire project with subcontractors. The size and complexity of the project will dictate the need for this.

Plans and Specifications

Fully review the plans and specifications of your project. You are expected to know the plans and specifications more than anyone else on the jobsite, including the QC and the customer.

CONSTRUCTION EXPECTATIONS

Manage the Project day-to-day with the Superintendent. Be involved and aware of field activities. Manage, code and sign Purchase Orders.

Conduct regular inventories of supplies and ensure materials and equipment are on-hand or lined up for upcoming activities.

Help solve onsite issues and disputes with Superintendents, QC, Safety, subcontractors, clients and owners.

Coordinate, meet and shepherd subcontractors and RC Construction supervisors and teams.

Coordinate regularly with Project Administrators.

You are expected to help your superintendent with any task that needs tending to, but particularly project staffing. It is also your role to assess if a project is staffed appropriately or if changes (additions and subtractions) need to be made.

Always be helpful! "That is not my job" is never in your vocabulary.

The project manager is responsible for everything that happens or does not happen on a project!

MISCELLANEOUS TASKS

Modifications and Modification Negotiations

All modifications (Change Orders) will be reviewed by Senior PM and upper-level management. Negotiations are the responsibility of the PM or SPM. Once changes are fully negotiated, PM's are to put changes in Procore and Sage and a final review be done by the SPM.

Do not make any concessions or "horse trades" to the contract without SPM being in the loop and fully up to speed.

Onsite Disputes and Conflict Resolutions

Sometimes this is a client, sometimes a sub and sometimes employees of RC. At all times your job is to be the adult in the room and keep the projects success as your main goal. Never lose your cool.

Coordinating and Scheduling Subcontractors

Superintendents may help with this, however, it is completely the PM's responsibility. There also needs to be review of this continually with QC and Safety personnel to schedule preparatory meetings and review AHA's. This is partially why look-ahead and weekly update meetings are so critical.

EDUCATION AND OTHER REQUIREMENTS:



  • Possess a Bachelor's Degree with a concentration in Business, Construction, Engineering or Architecture
  • Must possess a minimum of 10 years of construction management experience or comparable skills in a related field
  • Excellent written and verbal communication skills
  • Must know Microsoft Office products
  • Experience with Primavera, Procore, Sage Accounting, RMS, and Smartsheet are added benefits
  • Self-motivated and punctual
  • Manage multiple tasks and have excellent follow-up skills both internally and externally
  • Professional and Competent


PHYSICAL DEMANDS:



  • Must be able to sit for long periods of time
  • Ability to frequently repeat the same movements with arms, hands, wrist, and fingers. (Use fine manipulation, frequent to constant traditional keyboarding)
  • Use fingers to grasp, move, or assemble small objects
  • Ability to seldomly lift < 50lbs
  • Ability to reach overhead, and at or below the shoulder
  • Ability to see details of objects that are less than a few feet away
