The Cancer Institute at West Virginia University is currently accepting applications for a (Hybrid) Grants Administrator with the Cancer Institute About the Opportunity This position provides support to WVU Cancer Institute faculty in regard to external and internal grant proposal application processes, pre- and post-award budget and data management and reporting. The primary purpose of this position is to manage and provide pre-award and reporting grant support to WVU Cancer Institute members. This position will report to the Assistant Director of Pre-Award and will serve as part of the WVUCI unit for research administration. What you'll do:
- Coordinate all non-transactional aspects of the departmental grant application pre- and post-award processes.
- Initiate the grant application process with the PI, draft the letter of intent to submit to the grant agency, prepare all data for the official agency application form(s), complete all internal application forms (includes assembling the final package being sent to the grant agency) and process and create a working budget for the application.
- Collaborate with the PI to collect, write and edit all data and organize all files according to the sponsor's instructions in preparation for submission to the agency.
- Set up a timeline from the onset to ensure the application is submitted to all appropriate approving agents well in advance of the submission due date to the agency.
- Coordinate timely receipt of grant/contract funding to ensure projects start on time and monitor complete expenditure in advance of project end date.
- Provide administrative and budget support to the faculty of the WVU Cancer Institute for preparation of external and internal grant applications, including pre-award, competing and non-competing renewals, post-award activities, closeouts of grants and final reports.
- Facilitate no cost extensions and change orders as needed and allowed by funders.
- Collect and maintain current faculty information and biographical sketches for collaboration purposes, and update official "other support" grant documents. Assist faculty with updating these forms to proper format, edits and makes sure comply with application guidelines.
- Contribute to electronic database of all externally funded projects. Contribute to repository of common data, such as current biographical sketch information for collaborating faculty, publications, and other support.
- Stay up to date on current granting laws, regulations, policies and procedures and ensures that institutional and sponsoring agency (i.e. NIH, DOD, AHA, NSF, USDA, etc.) policies are followed.
- Attend meetings, training, seminars, etc. on behalf of the faculty to keep current on the vastly changing grant application processes and online grant tools such as eRA Commons and Research.gov. Provide training to PI's when needed on how to utilize these tools for completing their award updates or reports.
Qualifications
- Bachelor's degree in business, Accounting, English, Journalism, Science, or related field, or an equivalent combination of education and experience.
- A minimum of two (2) years of directly related experience:
- Grants administration and grant writing
- Grants accounting, submitting proposals, completing online applications or reporting and other business-related experience.
- Current software applications to support the needs of the position.
- Demonstrated ability to organize information, prepare complex reports for upper-level administration.
- Oracle/MAP Financial System (preferred)
- Ability to analyze data and provide useful reporting tools.
- Ability to prepare budgetary and financial reports and provide reconciliation among clustered accounts.
- Knowledge of WVU policies and procedures pertaining to budgetary, internal and external funding matters.
- Knowledge of PC based software and related applications, including Word, Excel, Adobe Acrobat, and Access.
- Knowledge of various grant proposal application processes.
- Ability to manage multiple tasks and projects, prioritize for effective outcomes.
- Participation in national grant management organizations such as NCURA; striving to achieve CRA accreditation.
- Strong verbal and communication skills.
- Must have a professional demeanor when dealing with demanding individuals.
- Excellent organizational skills and be able to multitask and prioritize all work needing accomplished.
- Must possess the ability to work independently and use excellent judgment in decision making.
