The Welcome Center Specialist is instrumental in creating a welcoming and positive experience for visitors to Reynolda House, Village and Gardens. The way our guests converse with WCS staff sets the tone for their visit to Reynolda. As a front-line staff member, you multitask as an admissions desk, information desk, membership desk, concierge, phone operator, retailer and host. This role contributes greatly to the overall guest experience of Reynolda.

This position assists with oversight of the Reynolda Welcome Center, including reception of visitors, processing admissions, orienting visitors, communicating Garden guidelines, telephone and administrative reception, and merchandise retail sales.

As a front-line representative of Reynolda, the Welcome Center Specialist has a friendly smile, a strong understanding of the history of Reynolda, follows best practices in interacting with visitors, and advises colleagues on pertinent issues related to the visitor experience.

Job Description

Essential Functions:

  • Responsible for reception of visitors, processing admissions (both paid and complimentary), telephone and administrative reception, orientation materials, and conducting merchandise sales transactions.
  • Sets expectations and makes suggestions for the visitor's experience through effective listening and communication related to the visitor's itinerary and agenda.
  • Facilitates and directs visitor inquiries to the appropriate staff person to ensure exceptional service.
  • Assists with oversight of the Welcome Center and ensuring a welcoming environment for visitors.
  • Receives and accurately processes admission and sales payments (credit cards), maintaining proper confidentiality and PCI compliance (training is provided; background check will be conducted).

Required Education, Knowledge, Skills, Abilities:

  • High school graduate plus specialized training with one year of related experience, or an equivalent combination of education and experience.
  • Enthusiasm for working with people, experience with customer service, excellent guest-focused service skills.
  • Ability to demonstrate effective communication skills; strong interpersonal skills.
  • Proficiency in the use of computers and email and have a willingness to learn new technology. Point of Sale experience with Altru is a plus (training is provided).
  • Ability to multitask and become familiar with: calendar of events, organization chart in order to direct calls, emails or queries to proper department, telephone system, merchandise, & photography booking system.
  • General office management skills.
  • Proficiency in Microsoft Office including Word, Excel, the Internet and other related software.
  • Ability to work frequent weekends and occasional holidays and evenings as needed.

  • Interest in lifelong learning, gardening, plants, nature, and history.

Accountabilities:

  • Responsible for own work only.
  • As the first line of contact for visitors to Reynolda, accountable for superior customer service in all circumstances that may arise.

Physical Requirements:

Performs bending, climbing, crouching, kneeling, reaching from ground level to overhead, pushing and pulling up to 25 pounds
