Hours per Week

40.00 Standard from 8:00 AM to 5:00 PM. Mostly requires a physical presence in the office, with occasional evening work to assist with events, and some remote working options.

Purpose of Position

To assist with logistics associated with UT System events. This role will support event conception and execution of events, and handle business transactions including vendor contracts, timely payments, sound recordkeeping, and completion of assigned pre and post event activities.

Essential Functions

  • Assists with UT System events including venue selection, catering, lodging, and other related activities and logistics.
  • Commitment to work events occasionally during the evening.
  • Reconciles vendor payments and creates financial reports on a timely basis.
  • Assists events director with budget planning, reporting, and forecasting.
  • Manages event and database platforms and maintains event data.
  • Prepares and coordinates event briefings and event-related materials.
  • Establishes and maintains relationships with vendors and venues, and proactively explores opportunities with new ones.
  • Proactively seeks and recommends modern tools to manage events.
  • Collaborates with colleagues in External Relations and throughout the UT System Administration to coordinate events and special projects.
  • Other duties as assigned.

  • Is experienced with event budget preparation and reconciliations.
  • Has a history of strong administrative support skills.
  • Is proficient with database and event management software and technology.
Required Qualifications

  • Bachelor's degree.
  • Five (5) years of experience in events work including project management or coordination.
Preferred Qualifications

  • Proven organizational skills in a nimble environment.
Working Conditions

  • May work around standard office conditions.
  • Requires occasional evening or weekend hours.
  • Hybrid work environment (remote & office).
Additional Information

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to a minimum of 20 hours per week and at least 135 days in length.

A background check will be conducted on candidates under final consideration. Background checks are conducted by third-party vendors.
