Overview

Job Responsibilities
This position will support the Department of Pharmacy Practice and Administration one of two departments in the Wegmans School of Pharmacy, which includes daily support for both the Chair of the department and approximately 20-25 faculty. This position provides administrative assistance and support for the department with academic needs and communication as needed with students, departments across campus and outside collaborators. Overall support will include but is not limited to:

  • Support faculty needs for both the campus and online pathways, related to courses and activities, including learning management systems (LMS) such as BrightSpace or Canvas, posting of course materials, formatting teaching materials, processing assignments.
  • Work with the other departmental administrator to create and maintain exam and proctor calendar for faculty/students across both departments
  • Collaborate with the Coordinator of the standardized patient (SP) program to optimize utilization for courses and activities, including scheduling SP/students, managing video recording equipment, being present on the days of events to assure proper recording and coordinating activities and aiding in processing timesheets for the SP.
  • Provide faculty assistance with curricular and co-curricular activities including Team Stepps, SBIRT, Concepts, OSCE, Immunizations training, Communication and Counseling and other hands-on activities throughout the program
  • Assist faculty in organizing and hosting outside speakers for events and courses
  • Interface with internal and external parties and departments
  • Assist Office of Experiential Education in student activities and organized preceptor-related events
  • Complete office tasks related to scheduling meetings, maintaining calendars, recording meeting minutes, procuring office supplies
  • Support the Department Chair with their scheduling needs as it relates to professional and academic appointments and support of the students.
  • Process confidential materials as it relates to the activities of the Chair.
  • Work with the Chair to process budget requests and assure documentation and allocation in appropriate budget categories
  • Support other administrative assistants within the school during times of high need
  • Assist Dean's Office and faculty with Wegmans School of Pharmacy events as needed
  • Other duties as assigned

Education / Experience
AAS and/or previous experience in academic environment is desirable.

  • ability to learn new computer-based applications quickly
  • prior working knowledge of basic office/teaching machinery (e.g. copier/printers, scanners, projectors)
