Position Summary The Scheduling Coordinator is responsible for producing and maintaining accurate and complete information in scheduling, developing and revising the daily schedule, performing check-in functions and billing for services and resources provided in compliance with the essential structural framework for provision of patient care. Essential Functions and Responsibilities of the Job Schedules, develops and revises the daily schedule to produce accurate and complete information. Performs all related duties as assigned. Ensures patient confidentiality when scheduling cases and posting the schedule. Coordinates effectively with other departments, medical staff offices and physicians throughout the scheduling process. Analyzes, correlates and processes patient records, reports and statistical data, ensuring accurate record keeping. Verifies completeness of nurse's notes prior to inputting data. Ensures all patient charge sheets are entered in computer with allotted time frame. Serves as a preceptor to staff. Maintains scheduling program update and revision. Works closely with IS for management of computer program. Assists in carrying out clerical skills which support the efficient operations of the department. Computerizes activities for efficiency and ease. Identifies unit or system problems and develops action plan for change. Develops systems for tracking accurate quantitative data. Initiates and develops effective communication to promote a cohesive environment and work relationships. Serves as preceptor when training staff in the process of scheduling, journaling, and data entry. Makes timely arrangements of meetings and coordination of scheduled impromptu meetings. Functions in secretarial role whenever necessary. Develops system to assure minutes are read by staff who missed meeting. Manages maintenance of documentation compliance as required by regulatory agencies. Maintains accurate and current files on reports. Ensures that requests for all specialty equipment is communicated to the service Assistant Unit Manager in a timely manner, on the day of scheduling. Notifies all appropriate personnel of all changes or cancellations to the schedule. Completes filing of correspondence and reports in appropriate manner. Provides guest relations services for patients waiting for tests and coordinates with volunteers or student interns to ensure good customer service. Performs other duties as assigned. *Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. In addition to base pay, there may be additional compensation available for this role, including but not limited to, shift differentials, extra shift incentives, and bonus opportunities. Minimum Requirements Qualifications/Work Experience: 2+ years experience as a surgery or diagnostic procedure scheduler in a hospital setting preferred . Advanced knowledge of medical terminology and experience with a computer scheduling program. Excellent computer skills in a Microsoft Windows environment including Word, Excel, Outlook and PowerPoint. Bilingual in Spanish and English preferred. Education/Licensure/Certification: High School Diploma or GED required. Associate degree preferred |
