The Health & Counseling Center (HCC) is a fully integrated, on-campus, accredited college health center that provides a wide range of medical and mental health services. The University of Denver is deeply committed to Inclusive Excellence and Equity and seeks a Sr. Healthcare Administrative Specialist – Insurance Coordinator who possesses cultural humility and a strong understanding of systems of oppression and can integrate those perspective into all their work. This position works in the HCC Administration unit at the HCC.

The mission of the HCC is to enhance overall student well-being and success through inclusive physical and mental healthcare, prevention, education, advocacy, and recovery support services. Most shifts are from 8:00 am to 5:00 pm, with occasional shifts from 10:00 am to 7:00 pm. Physicians, nurses, psychologists, nurse practitioners, physician assistants, and other health professionals staff the HCC. All students enrolled for academic credit (full-time or part-time, undergraduate, or graduate) may use the HCC.

Position Summary

The Senior Healthcare Administrative provides a high standard of service excellence to internal and external customers; interacts with patients to resolve patient issues and questions; demonstrates a commitment to the financial success of the HCC; demonstrates a commitment to the HCC as a whole by adherence to policies and procedures. This individual demonstrates leadership to the other Healthcare Administrative Specialists, competence, and initiative by performing various functions, including enrollment and verification, patient communication, claim preparation and submission, compliance and documentation, patient billing and invoicing, and system management, as well as other administrative tasks.

Assists with creating, overseeing, and maintaining all data, records, and accounts necessary for care delivery, quality assessment, and improving and utilizing services for the Health and Counseling Center. Assists with maintenance and support of HCC software and IT operations. Manages or oversees import and export of data between multiple systems. Develops reporting and retrieves data on a routine and ad-hoc basis from practice software related to insured services, administered vaccinations, incomplete documentation, special population usage, and services. Demonstrates competence and initiative by performing a variety of functions, including the following: registering patients and scheduling patient visits efficiently and accurately; facilitating reception area activities; performing necessary computer tasks; scanning medical records accurately and promptly; recording charges accurately on patients accounts; collecting payments, as appropriate, and accurately recording the collection thereof, maintaining HCC provider (medical and mental health providers) schedules, a variety of billing responsibilities (correct coding, payment, and 3rd party billing revenue capture, accounts receivable, insurance advocate for the students, member of committees within the HCC, Student Affairs and Inclusive Excellence; facilitates appropriate resolution of student issues and complaints; performs routine clerical duties as assigned. Coordinates and supports educational outreach programs and liaises with private, public, and university agencies.

This is a one year position, continuation is dependent on funding.

Essential Functions

Insurance Duties 

The Sr. AST - Insurance Coordinator is responsible for a range of duties aimed at managing and facilitating the insurance processes within the HCC. Their primary responsibilities include:

  • Insurance Verification and Enrollment: Verifying patients’ insurance coverage and benefits before services being provided, ensuring that services rendered are covered under the patients insurance plans. They handle the processing of new insurance enrollments and changes to existing policies, ensuring that all information is accurately recorded and updated in the system.
  • Patient Communication and Customer Service: Communicating with patients regarding their billing inquiries, payment options, and resolving any discrepancies or issues related to their accounts. They provide support to clients by answering questions related to their insurance plans, premiums, coverage, and billing statements. They troubleshoot and resolve any issues or challenges related to the enrollment and billing process, ensuring a smooth and efficient operation.
  • Claim Preparation and Submission: Accurately preparing and submitting insurance claims to various health insurance providers, ensuring all necessary information and documentation are included.
  • Patient Billing and Invoicing: Generating and sending out bills and invoices to patients for services rendered, ensuring clarity and accuracy in the billing statements.
  • Payment Posting and Reconciliation: Recording and reconciling payments received from insurance companies and patients, ensuring that all payments are correctly applied to the respective accounts.
  • Denial Management: Handling denied or rejected claims by investigating the reasons for denial, correcting errors, and resubmitting claims for payment.
  • Compliance and Documentation: Ensuring compliance with all relevant regulations and guidelines, including maintaining accurate and up-to-date documentation for auditing and reporting purposes.
  • Collaboration with Healthcare Providers: Working closely with doctors, nurses, and other healthcare professionals to obtain necessary information for accurate billing and to address any billing-related issues.
  • Financial Reporting: Preparing regular financial reports related to billing activities, including tracking outstanding balances, payment trends, and other relevant metrics.
  • System Management: Utilizing and maintaining billing software and electronic health record (EHR) systems to streamline and automate billing processes, ensuring data accuracy and efficiency.

Health Information and Reporting Duties 

  • Assists with creating, overseeing, and maintaining all data, records, and accounts necessary for care delivery, quality assessment, and improving and utilizing services for the Health and Counseling Center.
  • Works collaboratively with DU administrative and clinical staff. Generates population lists and sends standardized messages through banner to student populations for testing and resulting SHIP Enrollment, SHIP Expiration, Immunization compliance, and HCC balance notifications.
  • Manages or oversees import and export of data between multiple systems, including NJH, CIIS, Banner, Point and Click, and Quest Diagnostics.
  • Working collaboratively with the Assistant Director for Information and Systems, develops reporting and retrieves data on a routine and ad-hoc basis from practice software related to pandemic services, administered vaccinations, incomplete documentation, special population usage, and services.
  • Supports HCC research by coordinating data collection and reports.

Health Information and Reporting Duties 

  • Assists with creating, overseeing, and maintaining all data, records, and accounts necessary for care delivery, quality assessment, and improving and utilizing services for the Health and Counseling Center.

Information Technology Support 

  • Assists with maintenance and support of HCC software and IT operations.
  • Provides end-user desktop support for HCC staff with Director for Administration and Finance.

Patient Billing 

  • Demonstrates commitment to the financial success of the HCC
  • Assures the accuracy of CPT and ICD-10 codes on patient visits according to the nature of the service rendered.
  • Reviews unauthorized tickets, empty tickets, and unfiled primary tickets
  • Notifies appropriate parties of any missing information.
  • Maintains patient benefit updates

Patient Services 

  • Schedules patient appointments efficiently and accurately according to practice protocols.
  • Prepares, updates, and maintains patient schedules, including confirming, rescheduling, and canceling patient appointments according to practice protocols.
  • Maintaining medical and mental health provider schedules

Administrative 

Knowledge, Skills, and Abilities

  • Experience with computerized data collection, billing and account tracking systems.
  • Working knowledge of Microsoft Suite Products
  • Knowledge of basic office equipment (phone, fax, copier, credit card machine, etc.)
  • Ability to demonstrate a commitment to the principles of diversity, equity and inclusion through involvement and participation in department and university/division-wide projects and initiatives.
  • Typing minimum 40 words/minute
  • Computer data entry.
  • Basic understanding of medical terminology.

Required Qualifications

  • Associate degree or 2-5 years customer service in a healthcare environment
  • 2-5 year’s customer -Previous experience in health insurance, customer service, or administrative roles.
  • Working knowledge of medical billing and coding. Understanding of federal and state insurance regulations, including the Affordable Care Act (ACA).
  • Knowledge of health insurance enrollment processes and procedures.

Preferred Qualifications

  • Bachelors Degree in healthcare administration, business, or related fields.
  • Experience with different types of health insurance plans, including HMOs, PPOs, and Medicare/Medicaid.
  • Experience in medical coding and terminology.
  • Experience in Electronic Medical Record software.
  • Experience with creating, overseeing, and maintaining all data, records, and accounts necessary for care delivery, quality assessment, and improving and utilizing services.
  • Billing through Electronic Medical Record software, maintaining provider (medical and mental health providers) schedules, a variety of billing responsibilities (correct coding, payment, and 3rd party billing revenue capture, and accounts receivable
  • Exceptional interpersonal skills, exemplary written and oral communication skills, and strong organizational and time management abilities.
  • Certifications such as Certified Health Insurance Specialist (CHIS) or Certified Employee Benefits Specialist (CEBS).
  • Ability to manage multiple projects at the same time.
  • Ability to work effectively with diverse constituents.
  • Ability to handle sensitive and confidential information.

Working Environment

1. Standard office environment.
2. Unexpected interruptions occur often and stress level is moderate to high.
3. Noise level is quiet to moderate.

Physical Activities

1. Ability to sit in front of a computer for an extended period of time.
2. Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule
This position requires employees to work onsite 8:00am-5:00pm with some weekends, evenings and holidays. with evening hours until 7 pm one to two evenings a week during the academic year.

Salary Range:
The salary range for this position is $58,000-$62,000
