GENERAL SUMMARY OF DUTIES:

Under the direction of their manager/designee, the Centralized Scheduler is responsible for daily maintenance of the surgery and imaging department schedules and all aspects of the scheduling process. This includes strategizing and problem solving and ensuring high levels of customer service with all hospital staff and scheduling coordinators from physician offices.

REQUIREMENTS:



  • High School Diploma or equivalent required
  • College degree preferred
  • 2 years' experience in a surgical facility or surgeon's office preferred
  • Meditech and Epic scheduling experience preferred
  • Accuracy and proficiency with scheduling system data entry and use of MS Office applications which include Outlook, Word, Excel
  • Strong customer service, communication, time management, multitasking, and organizational skills
  • Familiarity with medical terminology
  • Ortho/spine and ENT scheduling experience would be a plus


ESSENTIAL FUNCTIONS:



  • Ensures all surgery cases are scheduled in a timely manner in accordance with the Surgeon's directions
  • Schedules patients' appointments and surgeries including emergency and add-on surgeries
  • Accurately and efficiently enters scheduling information into the appropriate system(s)
  • Considers priorities and special needs when scheduling surgical procedures
  • Schedules surgeries as requested by surgeons' office staff in accordance with surgeons' block time/open time available
  • Contacts OR Manager and/or CNO to resolve surgery and equipment scheduling conflicts
  • Sends to surgeons' offices daily confirmation schedules and lists of upcoming available OR
  • Emails daily surgery schedules to senior management
  • Enters block release dates on Physicians Out calendar
  • Obtains and provides patient information necessary to schedule imaging procedures
  • Obtains additional clinical documents as needed for procedure authorization
  • Calls patients to schedule and reschedule procedures
  • Completes required imaging packet to forward to verification team
  • Obtains authorization approval for imaging procedures through BMC
  • Runs daily Radiology Report
  • Maintains knowledge of how various surgical and radiology procedures are scheduled
  • Ensures diagnosis, CPT codes, and complete physician order are included when scheduling procedures
  • Answers telephone calls and emails pertaining to questions about surgery/imaging procedures, times, and instructions
  • Receives documents in Active Fax and triages documents as necessary to other departments
  • Communicates with patients, office staff and coworkers in a professional, enthusiastic, friendly and positive manner
  • May schedule other types of procedures as hospital needs change
  • Performs other duties as assigned
