Brief Summary of Job Duties The Programming Manager is responsible for programming, booking, and managing Arts & Lectures public events. Reporting to the Director of Public Lectures & Special Initiatives, this position is essential to the success of current season events as well as future years' programming. As a public-facing senior representative of the organization, the Programming Manager is responsible for building and sustaining collaborative relationships between Arts & Lectures and Artists, Lecturers, Agents, Tour Managers, Venue Management, University and other representatives. This position is a critical bridge to solicit, organize, and disseminate complex event information between organizations, and within Arts & Lectures' various departments. Ensures that complex contractual obligations are met for the Lecture, Film, and Performing Arts programs as well as special events. Required Qualifications

Job Functions and Percentages of Time: Programming Management - 80% - Along with the Executive Director and the Director of Public Lectures & Special Initiatives, the Programming Manager advances A&L programmatic development for large-scale public events. Programs, manages, and implements public performances and lectures on behalf of the organization. Works independently with a variety of domestic and international agents, artists, speakers, tour managers, and other representatives to identify potential events. Proposes season offerings to the Executive Director and the Director of Public Lectures & Special Initiatives; prepares and presents detailed budgets with recommendations on ticket price scaling, target income, and control of expenses. On behalf of the Lecture, Film, Performing Arts and Special Events program, the Programming Manager negotiates all details of public engagements, including: booking available dates with local venues; creating event budgets with detailed financial recommendations to the department; negotiation of performance fees, outreach fees, travel and lodging accommodations or buy-outs, and extensive technical and hospitality riders. Manages event advance work to ensure budget is adhered to; organizes, tracks, and disseminates complex event information to external and A&L departments. Negotiates multi-day Education, Outreach, and Community Engagement residencies, oversees incorporation into contracts, and coordinates activities and technical requirements with artists, tour managers, and agents. Participates in professional networking and education organizations with other arts presenters, and coordinates artist bookings, budget, and fees with other presenters to maximize event success and limit expenses. Independently coordinates A&L's booking calendars with campus, venue and community cultural organizations for all events. Attends arts presenter conferences and showcases on behalf of the organization. Works closely with Executive Director and Director of Public Lectures & Special Initiatives to develop programmatic goals and financial outcomes related to programming and events. Has authority to represent Arts & Lectures at campus and community events. Trains and mentors A&L staff interested in programming work and cross-trains for backup coverage. Responsible for developing and updating an internal Programming & Events guidebook to document organizational policies, procedures, and best practices, including development of public events safety, audience management, and emergency response plan. Event Management - 20% - Acts as principal contact with lecturers, performers and their agents for select lectures, performances, and other large-scale events. Organizes residency activities in coordination with A&L education and management teams and schedules appropriate venues with technical and audio-visual support. Develops and schedules classroom visits by lecturers/performers with interested faculty and community partners and encourages special group sales. Supervises the collection of all publicity materials (photographs, biographies, video screeners, etc.) from agents for appropriate events. Creates and maintains event and budget files. Works with finance team to oversees event settlements and finalize event financial income and expense reports. Provides necessary financial information to CFO. Attends events as primary A&L and University representative at select lectures, special events, films and performances, primarily in the evenings including many on the weekends. Trains staff, students, and volunteers on event management advance work and protocol. Other duties as assigned.
