Hiring Range

The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The budgeted salary or hourly range that the University reasonably expects to pay for this position is STEP 1: $66,000.

About the Job

Provides support to a direct report of the Vice Chancellor of Enrollment Management; ensures front administrative processes and office operations run smoothly in the executive's office; processes confidential information related to students and staff; provide clerical and technical support which includes scheduling of appointments, coordinating agendas and meeting/event details and making travel arrangements.

KEY RESPONSIBILITIES

  • Oversees and ensures the daily administrative operations run smoothly for the executive's office.
  • Forwards situations and issues presented by staff, faculty and external constituents to appropriate staff members for resolution.
  • Participates in the development and implementation of efficient and effective systems for managing information, projects and communications to ensure accurate and timely responses.
  • Supports and coordinates VC Division searches and division-wide retreats and events.
  • Functions as the gatekeeper, understanding the requirements of the executive, in order to prioritize issues according to urgency and to allocate time for scheduled events, travel and meetings.
  • Makes high level contacts of a sensitive nature, internally and externally requiring discretion and diplomacy.
  • Handles the details of a variety of matters on behalf of the executive.
  • Responds to inquiries from faculty, staff, students and the public on behalf of the executive regarding campus operations, policies and procedures.
  • Investigates issues and problems; drafts and prepare responses to urgent requests.
  • Administers general office activities which may include some of the following functions: finances (budget and reimbursements), space planning and reservations for meetings and/or events, and other day-to-day administrative tasks.
  • Participates in all administrative trainings related to purchasing and processing protocols.
Qualifications

EDUCATION and EXPERIENCE

  • Bachelor's degree in related area and/or equivalent experience/training from an accredited institution. (Required)
  • 3 years of progressively responsible work in related field. (Required)

CRITICAL KNOWLEDGE AND SKILLS

  • Familiarity with campus processes, protocols and procedures.
  • Knowledge of federal regulations such as FERPA.
  • Thorough knowledge of common campus-specific and other computer application programs. Analytical/problem-solving skills. Strong service orientation.
  • Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the Campus as well as the Office of the President and external constituencies.
  • Strong skills to communicate effectively with all levels of staff, faculty, alumni/donors, students and external constituencies; both verbally and in writing.
  • Strong skills in analyses and complex problem-solving.
  • Advising and counseling skills.
  • Ability to multi-task with demanding timeframes.
  • Ability to use high-level discretion and maintain a high level of confidentiality.
  • Working knowledge of basic accounting and ability to manage university ledger systems.
