Overview / Job Summary:

The Assistant Registrar assists the Registrar in ensuring the integrity of student academic records and the fair, knowledgeable application of related academic policies. The Assistant Registrar is expected to handle multiple responsibilities, solve complex problems, and ensure that systems and processes meet service expectations. This includes processing transfer of credit evaluations, prior learning assessments, and credit by examinations; maintaining DegreeWorks functionality for online registration and degree audits; maintaining the course schedule; assisting students, preparing transcripts, and ensuring FERPA compliance at all times.

Your day-to-day responsibilities will vary, but are not limited to:

  • Responsible for the evaluation of transfer credits in compliance with college approved guidelines and ensures the integrity and efficiency of the evaluation process. Makes independent decisions and enters all applicable transfers on students records accurately and in a timely manner, as well as coordinates with academic departments where subject matter expertise is required.
  • Performs schedule maintenance: course creation/cancellation; scheduling classrooms; coordinating with academic leads, advisors, and business office staff for schedule accuracy.
  • Ensures FERPA compliance in performance of all duties.
  • Monitors academic grade submission and works with appropriate departments to ensure timely and accurate grade and attendance entry.
  • Assists with maintenance of DegreeWorks, including program scribing, processing student exceptions, and certifying student eligibility for graduation.
  • Supports the Registrar with coordination of commencement activities.


Possessing excellent customer service skills, this individual effectively communicates, listens actively, and maintains a positive, professional demeanor while ensuring customer satisfaction. They assist faculty and staff in adhering to records procedures, maintain academic administration systems like Ad Astra and Banner, and ensure the integrity of academic records by correcting discrepancies and updating student information. Additionally, they take on various other responsibilities as assigned by their supervisor.

Education:

  • Associates degree in a related field or equivalent required. Bachelor's Degree preferred.


Preferred Qualifications:

  • Minimum 2 years' experience in higher education, preferred. Experience in an academic records office, human resources, compliance and/or regulatory experience, preferred.
  • Familiarity with the Family Educational Rights and Privacy Act (FERPA), preferred. The ability to maintain confidentiality is essential.
  • Knowledge of Banner, Student Services software, is preferred.
  • Effective problem-solving, critical thinking and analytical skills. Professionally motivated to complete accurate timely work.
  • Proficient knowledge of Outlook, Word and Excel are required.

  • Excellent verbal & written communication and interpersonal skills - must be able to work with students, technical and administrative personnel in a pleasant, professional, and efficient manner.
  • Detail oriented with strong organizational skills.
  • Must be able to work in a multi-tasked, high-volume environment, completing multiple and competing priorities.
