Job Description

GENERAL PURPOSE
The Clerical Technician 3 - Business Office Support Gracedale Nursing Home position provides superior administrative support to the Business Office Manager and Fiscal Specialists in the Billing Department of the Business Office. This position independently prepares, carries out, and takes definitive action regarding processes and functions that are integral parts of the department's mission. Work includes duties that are supportive in nature in order to provide an efficient use of department resources to maximize productivity.

SUPERVISION RECEIVED
This position reports directly to the Nursing Home Business Office Manager.

SUPERVISION EXERCISED
This position is not responsible for the supervision of other employees or functions.

ESSENTIAL DUTIES OF THE POSITION
Answers telephone and receives visitors to office. Provides exceptional customer service by effectively communicating by telephone, email, or in person. Adequately resolve visitors' issues, or direct visitors to appropriate staff able to provide assistance.

Interacts with Gracedale Administration, employees, residents, family members, and appointed responsible parties on a regular basis to assist with general requests or direction to appropriate staff members in order to provide the highest level of customer service.

Schedules appointments for meetings as needed.

Receives over the counter payments and provides receipts. Performs cash application of cash receipts into software system. Prepares paper check insurance remittance cash receipts. Imports electronic remittance payments from third party software vendor and prepares cash receipts.

Reviews resident medical bills for OME/PME processing.

Performs data entry into Excel spreadsheets.

Opens and distributes incoming departmental mail. Assists with preparation and mailing of resident billing statements.

Assists Nursing Home Fiscal Specialists and Business Office Manager with daily tasks such as copying, scanning, filing, entering resident annotations, faxing documents to various outside agencies, preparation of standard Medical Assistance renewal applications, obtaining resident signatures on informational release forms, emails resident demographic information to outside agencies, insurance verifications, payor source verifications, preparation and distribution of daily census reports, verification of insurance premiums and other deductions, uploads resident documents into Gracedale specific software, and other clerical functions as assigned.

Provides back-up coverage to Greeter/Receptionist.

Provides back-up coverage to Resident Funds including petty cash reconciliation, bank drawer reconciliation, resident bank operation, and resident payday delivery.

Cash receipts application of insurance claims payments in Gracedale specific software.

Preparation of bank deposit receipts according to departmental guidelines for proper accounting of funds received.

Assumes responsibility and takes independent action on areas of specialization and/or assigned function area. Performs assigned functions according to specified time schedule.

Performs all job duties with a friendly, positive, and team oriented approach.

Supports facility and department goals.

REQUIRED MINIMUM QUALIFICATIONS

EDUCATION & EXPERIENCE-
Completion of a high school, or general equivalency, diploma; AND

At least one (1) year of general clerical work experience involving a high level of customer service.

OTHER REQUIREMENTS- Applicants must be fully vaccinated against COVID-19, and present valid proof of vaccinated status, in order to be eligible for hire at Gracedale Nursing Home. According to the Centers for Disease Control (CDC), people are considered fully vaccinated two (2) weeks after their second dose in a 2-dose series (such as Pfizer or Moderna vaccines), or two (2) weeks after a single-dose vaccine (such as Johnson & Johnson's Janssen vaccine).

Upon hire employee must have a drug screening and COVID-19 testing. Employees may also be periodically tested for COVID-19 as required or recommended. In addition, Gracedale Nursing Home will follow The Centers for Medicare & Medicaid Services (CMS) requirements with regard to booster(s) needed for workers in health care settings.

Ability to perform data entry into established Excel spreadsheets.

Ability to maintain the enthusiasm necessary to provide top notch customer service to both internal and external customers.
Ability to establish and maintain effective working relationships with associates, callers, visitors, clients, representatives of other offices, and the public.

Ability to preserve confidential information.

Ability to read, write, speak, understand, and communicate in English to perform the duties of this position.

TOOLS AND EQUIPMENT
Telephone, personal computer (including Microsoft Office applications and other specialized software), calculator, adding machine, microfiche equipment, automatic sorters, collators, fax machine, copy machine, scanner, and other office equipment.

PHYSICAL DEMANDS
While performing the duties of this job, the employee is frequently required to walk, sit, talk or hear.

The employee must frequently lift and/or move up to twenty-five (25) pounds.
