The Levy Group of Companies is seeking an Administrative Assistant to work at our Levy Evertz Alabama location in Calvert, AL . The Administrative Assistant will perform advanced administrative functions and will frequently require independent judgment.
Pay: $19-$22/hr
Schedule/Shift: Mon.-Fri, day shift

Responsibilities
The Administrative Assistant will:

  • Perform advanced clerical and administrative responsibilities. Frequently requires independent judgement and specialized knowledge of specific field.
  • Inter-face with client steel mill managers, hourly employees, and company vendors Further principle responsibilities are listed below in general terms.
  • Maintains records of change in operational manuals
  • Develops detailed spread sheets for a business plan
  • Calculates and prepares the pay roll each week for hourly personnel
  • Assists in training of ISO-9000 quality systems
  • Prepares financial documents which include details of sales, costs, gross profit
  • Uses calculations and charts to ensure proper invoicing of Steel Mill customer
  • Orders supplies and parts vital to site operations
  • Tracks site spending for budgetary purposes
  • Ability to perform all the above task in a steel mill environment
  • Provide administrative support functions for the operations manager and
  • Typing, filing and copying
  • Maintaining operations manuals
  • Developing and maintaining spreadsheets for location's business plan and budget
  • Utilizing Oracle to enter and retrieve information
  • Running and printing reports from Oracle
  • Proficient record keeping
  • Requisitioning and receiving parts and supplies
  • Answering phones
  • Performs routine reporting
  • Assisting and maintaining of ISO 9000 record keeping
  • Issuing purchase orders for outside vendors
  • Ensuring proper invoicing of steel mill customer
  • Providing customer service including sales assistance and problem resolution
  • Processing time cards and basic accounting information
  • Performing materials inventory
  • Assist with other projects as assigned by manager

Skills
The ideal candidate will have:

  • High school diploma or equivalent with specialized computer training
  • Knowledge of Microsoft Office products
  • Strong working knowledge of Excel
  • Knowledge of Access and PowerPoint a plus
  • Advanced computer skills
  • Excellent communication skills
  • Experience in accounting and recording accounts payables
  • Extensive record keeping skills
  • Knowledge of basic office machinery
