Job Summary

Manage contract administration process including document creation, review, modification, and finalization. Log and archive all contracts submitted by business units in accordance with Contracts Administration Policy. Review, negotiate, edit and approve contracts in collaboration with the contracting business unit, consulting as necessary with the Manager, Contracts Administration and Corporate Counsel on complex, significant or legally sensitive matters. Maintain contract repository, database, and indexing system. Support the Request for Proposal (RFP) process, including RFP terms & conditions amendment and modifications. All job duties and responsibilities must be carried out in compliance with applicable legal and regulatory requirements.

Job Responsibilities



  • Review, edit and negotiate a wide range of contracts submitted by business units, including but not limited to contracts relating to the licensing of software, consulting and service agreements; hotel/event agreements and other supplier and vendor agreements. Coordinate interdepartmental review as applicable (i.e. IT Security review, Tax Review, Finance Review). Return reviewed agreements to business owners and respond to questions. Elevate issues and negotiations to Contracts Manager. Maintain the highest level of responsiveness and service to ensure all contracts submitted by business units are reviewed in a timely fashion.
  • Primarily responsible for review of all HR related contracts, (such as employment agency, speaker engagement, training and coaching contracts, etc.), ALAE Claims, Premium Audit, and Facilities contracts, along with general Statements of Work, Amendments and Change Requests.
  • Maintain and manage the contract repository, database, and indexing system, including the Ariba system. Update and accurately maintain Contracts Administration spreadsheet, showing status of all contracts, from submission through execution.
  • Support the Request for Proposal (RFP) process, including RFP terms and conditions updates and significant or legally sensitive matters where appropriate.
  • Follow-up with business units regarding status of outstanding agreements, and field inquiries/questions from vendors and business units as to the status of existing contracts being reviewed or currently in archive.
  • Work with Contract Manager and Corporate Counsel to maintain and update the database of contract templates, key contract terms and acceptable fallback positions.
  • Understand and be fluent in the Ariba system. Assist in the training of the business units in the Ariba contracting process. Demonstrate and answer questions as necessary in order to help facilitate the submission process.
  • Assist Contracts Manager in more complex reviews, such as IT-related License Agreements or SaaS Agreements.
  • Responsible for assisting with the coaching and training of Contracts Specialist
  • Coordinate with Contracts Manager, if required, on special projects, such as the 5-year plan to review and renegotiate Legacy contracts, maintaining the Ariba Groups listings, etc.
  • Maintain Department Policies and Procedures manual, updating as processes or policies change.
  • Serve as Business Unit Records Coordinator for Contracts & Procurement, Ariba contact for department system-related issues and back-up for the Vendor Management Specialist role.


Job Qualifications



  • Proficiency with MS Office Suite applications, particularly Word and Excel.
  • Experience working in Ariba Contract management system.
  • Exceptional communication skills.
  • Effective negotiation and interpersonal skills.
  • Strong analytical, organizational and process management skills, including the ability to assess and address contractual risks.
  • Demonstrated ability to independently prioritize and perform a variety of duties exercising a degree of creativity and latitude.
  • General familiarity with project management methodology and processes.
  • Ability to manage high volume workload.
  • College degree required.
  • 5+ years contract management experience in a regulated industry with increasing responsibility.


The expected starting salary range for this role is$90,000 - $130,000. The actual base salary is based on geographic location, and the range is representative of salaries for this role throughout Selective's footprint. Additional considerations include relevant education, qualifications, experience, skills, performance, and business needs.
