Job Summary

Supervises front office and clerical functions in a multi-specialty physician practice setting. Supports in the daily administrative operations of the practice. Collaborates with physicians in the day-to-day administration and supervision of clinical staff.

Essential Functions

  • All team members are expected to be knowledgeable and compliant with Prisma Health's values of compassion, dignity, excellence, integrity and teamwork.

  • Supervises all non-clinical staff, manages vacation requests, monitors daily staffing levels and workload to ensure operational efficiency, maintains an appropriate medical record system, interprets and administers practice policies and procedures, and ensures security of all staff and equipment.

  • Maintains a courteous and co-operative working relationship with all levels of management and employees, physicians, patients and the general public.Solicits and evaluates feedback from patients, physicians and staff on quality of care and office performance.

  • Maintains the physicians' computerized patient schedules.Assists physicians with scheduling of CME, days off, on-call, etc.

  • Assists in developing goals and objectives for individual professional growth of staff. Performs evaluations on all non-clinical staff.

  • Implements personnel actions such as requisitioning new employees, scheduling interviews, hiring new employees, and disciplinary actions with approval of the Practice Manager or Director.Assesses and resolves non-clinical personnel issues.

  • Schedules/co-ordinates meetings for physicians and oversees composition and preparation of any physician-requested letters or memos.

  • Has the ability to perform the duties of all positions under supervision and provides operational support to front-office staff during high volume periods.

  • Ensures daily sorting, prioritizing and delivery of all mail. Processes all accounts payable invoices and keeps appropriate historical information.

  • Works with billing specialist in resolving accounts receivable issues such as rejections, charge corrections, edits, payment arrangements and collections on old balances.

  • Addresses, responds to, and tracks all non-clinical patient complaints.Informs Practice Manager of changes or problems within the practice.

  • Maintains petty cash fund and appropriate levels of office supplies and forms.Assists with the establishment of the annual budget and operates within said budget on a daily basis.

  • Develops and conducts new employee orientation to office and provides on-going training materials and reference documents for front-office staff.

  • Oversees end-of-day balancing procedures and ensures deposits are correct and timely.

  • Attends workshops, seminars and courses anticipating own learning needs.Maintains proficiency in computer system skills.

  • Completes payroll documentation and submission on a timely basis.

  • Contacts any necessary vendors for repair issues or service of equipment or the physical plant. Forwards proposals/quotes to Practice Manager or Director for approval.Ensures neat and safe environment in non-clinical areas.

  • Performs other duties as assigned.

Supervisory/Management Responsibilities

  • Job has direct and/or indirect supervision of employees that may include final budget authority, hire/termination/disciplinary authority, performance appraisal responsibility. Job will be considered a member of the management staff with direct reports.

Minimum Requirements

  • Education - High School Diploma or Equivalent. Bachelor's degree in Business Administration, Accounting/Finance or related field of study preferred

  • Experience - Five (5) years clerical experience in a healthcare setting.Two (2) years at a lead/coordinator level in billing, admissions, scheduling, and/or medical records.

  • Bachelor's degree and two (2) years at lead/coordinator level in healthcare billing, admissions, scheduling, and/or medical records.
