The Office of the Registrar is looking for a detail-oriented individual with experience reviewing, analyzing, and maintaining confidential records to fill the Records Officer III position. Apply now to join our team!

The Records Officer III evaluates student records for State and Federal legislative requirements, providing legislative, technical and academic customer service while completing detailed data entry, validation and audit. The position also reviews, analyzes and performs calculations related to student academic records.
Minimum Education and Experience

Bachelor's degree in a related discipline and four years of experience in a higher education setting within academic support or similar experience; or an equivalent combination of education and experience.

Essential Duties and Responsibilities

  • Evaluate student coursework records to ensure compliance with State and Federal legislative requirements, especially related to Tuition Rebate, Excessive Hours and Residency.
  • Calculate students' attempted hours, validate calculations, and ensure accuracy in the academic record; enter and update data as needed.
  • Act as key personnel responsible for the integrity of UT Dallas' student academic record data as it relates to Federal and State legislative requirements.
  • Keep abreast of changing State and Federal regulations concerning academic credit limits.
  • Respond to student inquiries regarding legislative, technical, transcript, and academic questions related to the academic record via multiple forms of communication.
  • May process a high volume of a variety of forms from students, including but not limited to grade change forms, major change forms, add/drop forms, pass/fail forms, and repeat course adjustment forms; may process transcript fulfillment requests.
  • Determine students' catalog year in order to apply appropriate standards and policies.
  • Assist in back-up capacity with filing, reception, call center, and scanning as needed; may assist with residency processing and determination.
  • Participate as a member of Office of the Registrar at commencement exercises and other events such as, but not limited to, grading period, registration, orientation, and recruiting, which may require evening and weekend overtime.

  • Detail-oriented and accurate with the ability to analyze, interpret, and prioritize information in order to make informed decisions, and to identify potential issues and possible solutions proactively
  • Ability to plan, coordinate, schedule, and monitor tasks and activities in order to complete assignments timely and effectively
  • Excellent organizational, prioritization, and time management skills with the ability to complete several tasks and projects at a time
  • Strong written and verbal communication skills as well as active listening and interpersonal skills; knowledge of cross-cultural communication styles and ability to respond accordingly
  • Ability to work collaboratively and effectively in a strong team environment, take direction, and follow instructions


Remote Work Notice
Following successful completion of an initial training period, a hybrid remote work schedule may be available, subject to business needs and departmental approval. Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be cancelled.
