General Responsibilities |
Provides administrative support to the Center for Civic and Community Engagement (
CCCE) and assists in managing aspects of the day-to-day operations of the Center. Implements the policies and procedures of the program as established by the Director for the
CCCE. Program Assistant will assist in publication design, word processing, spreadsheets, database and web-based projects for the Center. Assists with the development and is responsible for the maintenance of student handbooks, directories and forms for all general and unique projects the Center manages. The individual must have excellent organizational, interpersonal, and communication skills. A high level of dependability, professionalism and confidentiality are required. The Program Assistant must maintain a consistently positive attitude and demeanor toward all areas of work, colleagues, and constituents. The employee must be able to function independently, set priorities, and self-supervise on a daily basis. |
Work Performed |
* Supports the day-to-day operations of the
CCCE.
* Responsible for maintaining the Partnership Directory, Student Handbooks and Academic Forms to support the various general and unique projects supported by the Center.
* Implements and assists with the development of data collection procedures and activities.
* Supports Center staff with the development, set-up, coordination and breakdown of events including room reservations, mailings, webpage, fliers, production of materials, and surveys.
* Utilizes word processing, spreadsheet, database, web and presentation graphics software, to create office publications for distribution.
* Assists in the development and responsible for the management of all office processes including program forms, student documents, mail reception, filing, etc.
* Interacts with students and faculty to answer questions and provide information regarding service learning.
* Supports the maintenance of office materials inventory and orders supplies when necessary.
* Supports the
CCCE staff with the implementation of events on campus.
* Continues to obtain updates and training in support of office needs.
* Maintains continual and effective communications with the Director and Center staff at all times, including effective and timely updates when staff is away from the office.
* Provides administrative support to Center staff, including but not limited to answering phones, student intake and monitoring the Center's email.
* Occasional local travel may be necessary.
* Performs other duties as assigned. |

* Associates degree in related field and two years' experience related to program administration required. Bachelor's degree would be an asset.
* Extensive knowledge of and experience with Microsoft Office Suite software applications including MS Word, Excel, and Outlook.
* Ability to process, organize, monitor, maintain and analyze large quantities of information and data.
* Experience in website content management.
* Experience developing and maintaining workbooks in Excel.
* Ability and willingness to work in a supportive role of the Center for Civic and Community Engagement staff, faculty and students, maintaining a consistently positive attitude.
* Ability to prioritize and effectively handle multiple concurrent projects and tasks.
* Demonstrated ability to work effectively within partnerships and teams.
* Excellent organizational, planning, and administrative skills with a focus on efficiency and process improvement
* Excellent communication and interpersonal skills and an ability to work with diverse constituencies.
* Ability to maintain strict confidentiality.
* Regular attendance is a requirement of this job. |
Working Conditions |
Office environment. Early morning, evening or weekend hours may be required three to five times per year. This is a long-term, part-time, non-budgeted position. |
