Overview

The Training Grant Coordinator will support the Office of Trainee Affairs (OTA) and Human Resources (HR) and center-specific program coordinators as applicable in administering and coordinating training grants within the Abigail Wexner Research Institute (AWRI). This individual will be responsible for full life cycle support of training grant awards to NCH including pre- and post-submission activities. In addition, they will ensure compensation and benefits are appropriately set up within the HR System for training grant recipients. The individual will also develop and provide training grant education to principal investigators (PIs) on training grant requirements and to award recipients regarding the HR implications for accepting the award, as applicable.

Responsibilities

    Creates and manages effective systems and processes to track and report training grant specific metrics including, but not limited to;
    • Graduate student and postdoctoral fellow outcomes
    • Number of faculty on training grants
    • Number of NIH supported trainees
    • Postdoctoral fellow candidate pool demographic data
    • Individual awardee funds (track expenses)
    • Training requirements for awardees
  • Creates and distributes information on training grant submission requirements to help educate interested faculty.
  • Assists with training grant preparation:
    • Creates tables (X-train software)
    • Creates and maintains institutional support documents and sections
    • Train administrative professionals on training grant preparation/support
    • Liaison between SPO and grant submitting team
    • Collaborate with OSU in gathering necessary data
    • Assist with progress report preparation
  • Assist with the advertising and recruitment effort for training grant opportunities
    • Works with Marketing to create a streamlined centralized location for all training grant opportunities
    • Develops and deploys strategies to ensure a diverse candidate pool for training grant opportunities
    • Streamlines the training grant application process between OSU/NCH
    • Networks and shares opportunities with others
  • Navigates NCH HR Systems and provides HR support for training grant recipients
    • Manages trainee appointments on training grants
    • Determine compensation and supplemental pay associated with various types of training grants and educates recipients on implications as needed
    • Navigates OSU/NCH employment issues
    • Manage trainee grant awardee benefits as applicable, including defining funding source for fringe
    • Manage start and end dates, communicate with payroll
    • Assists with trainee housing/transportation options
    • Schedule trainees for Research Orientation and orientation with OTA. Creates specific onboarding/orientation material for training grant recipients.
    • Assists with managing the NCH performance review requirement for training grant awardees
  • Tracks and distributes updated NIH policy statements and/or changes impacting training grant awards to relevant parties.
  • Oversight of subawards and contracts between NCH/OSU on training grants - track timing, liaison with SPO, ensure timely grant activation, provides assistance in determining allowable budget variances
  • Contributes as appropriate to other NCH projects and initiatives, particularly projects with the department.
  • Designs and manages databases, spreadsheets, flowsheets, and assessment plans as needed.
  • Other duties as assigned.


Qualifications

REPORTING RELATIONSHIPS Reports to: the Associate Director of the Office of Trainee Affairs.

KNOWLEDGE , SKILLS AND ABILITIES REQUIRED

  • Requires a Bachelor's degree - preferably business, administration, or human resources related. Master's degree preferred.
  • Three to five years' experience in grant management and proposal development. 1-2 years of experience in human resources desirable.
  • Strong critical thinking skills and ability to manage multiple deadlines and projects required.
  • Strong interpersonal skills and excellent verbal and written communication skills required. Attention to detail and ability to proactively make decisions and execute tasks/projects within a complex environment with minimal supervision.
  • Competence in personal computing and intermediate competence in the use of Microsoft Office software.
