DESCRIPTION

POSITION OVERVIEW

Under Registrar's direction, this position is responsible for maintaining the integrity of the academic records of students and alumni. Provide accurate and credible student data to approved requesting parties in a timely fashion. Ensure effective day-to-day operations of the department and provide back-up support to the Registrar. Drive policy changes and recommend new student policies to ensure the continuous improvement of academic affairs. Assist the Registrar in other related academic matters.

POSITION RESPONSIBILITIES/FUNCTIONS



  • Serve as a primary person for requests from students and other stakeholders with high levels of customer service.
  • Maintain and ensure accurate student records in college database through regular data input and audits.
  • Promote the Registrar's Office goal of accuracy, timeliness and credibility of data at all times.
  • Process transcript and diploma replacement requests
  • Review and evaluate all potential transfer credits for current, transfer and new students, maintain the equivalencies of courses while collaborating with Learning Departments and Enrollment Division
  • Secondary role in data entry of all records including registration and sections in student record data management system, PowerCAMPUS
  • Academically advise various student populations to aid in college-wide retention efforts i.e. Post Secondary Education Option (PSEO), International students, Nontraditional students, etc.
  • Serve as a liaison between the college and third-party vendors including the National Student Clearinghouse to process verification/enrollment certifications.
  • Ensure student records and privacy procedures meet government regulations by monitoring and practicing policies in accordance with the Federal Educational Rights and Privacy Act (FERPA).
  • Be responsible for updating and maintaining the Registrar's Office procedure manual.

  • Create academic plans and process substitutions.
  • Coordinate, monitor, and process students' degree progress and graduation requirements via the degree audit report and work with Student Services department and Academic Program Managers/Deans to resolve issues related to the timely degree completion.
  • Provide assistance with the usage and functions of online resources i.e. my.dunwoody, SharePoint dashboards, and reports in IIS to students, faculty members, and any other users.
  • Provide assistance with report requests and generate basic reports in PowerCAMPUS or IIS for internal or external stakeholders.
  • Assist the Registrar in meeting a variety of deadlines and special projects.
  • Assist department with commencement event logistics and work with vendors on supply orders
  • Participate in campus-wide projects as required.
  • Maintain a high degree of professionalism and provide high levels of customer service.
  • Foster a positive and customer-service oriented environment within and between departments of the college.


Essential Job Functions:



  • Ability to work 40 hours per week.
  • Excellent computer skills including knowledge of Microsoft Office: Outlook, Word, Excel, PowerPoint, and/or Access.
  • Ability to learn new computer programs and database management systems and demonstrate proficiency given adequate training.

  • To perform the job successfully, must have adequate knowledge of and willingness to use specialized software such as PowerCAMPUS, Great Plains, Adobe Products, SolidWorks, PowerFAIDS, Canvas, ticketing systems and/or other databases/electronic aids, in order to be as self-sufficient as possible in day-to-day operations. Use and maintain shared network folders to greatly limit reliance on personally stored items and documents.

QUALIFICATIONS

  • Associate's Degree with one or more years' experience in data entry and/or higher education OR
  • 2+ years' experience in data entry and/or higher education
  • Excellent computer skills including knowledge of Microsoft Office: Outlook, Word, Excel, PowerPoint, and Office 365.
