Responsibilities

  • Setup, monitor, and update projects in Vision, including initial budgets, change orders, and quarterly update requirements
  • Liaison between operations and finance to ensure proper project setup, documentation, and revenue recognition
  • Assist the project managers with standard reports to monitor project progress
  • Assist with monthly client invoicing and monitoring of account receivables
  • Assist project managers with establishing purchase orders in Vision, and approval of vendor invoices in AP System (SCERIS)
  • Coordinate and track contract and subcontract outputs, including change orders
  • Assist in unit entry and expense report entry for field staff
  • Review weekly and monthly reports (i.e., labor details, variance reports, utilization, etc.)
  • Research deviations in financial metrics and support implementations of appropriate rectifications
  • Assist project managers with formatting, production, and distribution of deliverables to clients.
  • Quality assurance on all deliverables to clients (ensure all approvals are documented)
  • Provide support in maintaining office functionality
  • Assist hiring managers with onboarding new hires
  • Work with the administrative team to provide office administrative support including mainline phones, hosting visitors, conference room reservation management, and organizing office functions.

Qualifications

  • Requires average to above-average abilities to work in Word and Excel
  • Excellent communication and organizational skills
  • Must have a sense of urgency, be self-motivated, and can prioritize tasks
  • Ability to work with staff and management groups
  • Demonstrated ability to work efficiently under conditions of multiple deadlines and changing priorities
  • Willing to initiate, delegate, and follow-through on assignments

Preferred Qualifications

  • Three or more years of experience supporting multiple managers in an engineering or environmental consulting company
  • Past experience in Deltek Vision and Adaptive Planning or similar systems required

Compensation: In accordance with local law, the below salary range is applicable for the job and location associated with this requisition. Compensation will vary based upon experience, education, skill level, geographical location, and other compensable factors.

Other Compensation: Employee may be eligible for participation in the Company's annual Discretionary Bonus Program which is contingent on Company, Business Segment, and Individual performance against Key Performance Indicators which vary by year and employee.
